Minimum Requirements

Position Summary
Under the direction and supervision of the Venue Manager, the Venue Coordinator is responsible for coordinating weddings, receptions, showers, meetings, and other events at Hartwood Acres Mansion, Hartwood Acres Stables, Allegheny County Courthouse, Family Courthouse Courtyard, County Office Building, and other County-owned facilities. The Venue and Marketing Coordinator is responsible for communicating with potential clients through various outlets, including email, phone calls, and online sources. Due to the nature of the work, this position demands the ability to be flexible and requires initiative and creativity, as well as excellent communication, marketing, social media, public relations, customer service, and organizational skills. Evening and weekend hours and travel to various sites within Allegheny County are required.

- High School Diploma AND four (4) years of experience in event planning/coordination, marketing, or a related field.
- An equivalent combination of education and experience may be substituted.
- Evening and weekend hours are required.

Duties
- Coordinates and schedules events at the Hartwood Acres Mansion, Hartwood Acres Stables, Allegheny County Courthouse, Family Courthouse Courtyard, County Office Building, and other County-owned facilities, including working with clients, caterers, vendors, event rental companies, and relevant County departments and staff.
- Assists the Venue Manager with developing promotional materials and advertising campaigns.
- Establishes and maintains relationships and partnerships with hospitality, catering, entertainment, event rental companies, and other vendors, as well as destination marketing organizations and meeting, convention, and event planners, in order to enhance events and increase facility rentals.
- Serves as a point of contact for potential clients and vendors, answers questions, and shows venue space.
- Works with seasonal event staff to ensure adequate on-site coverage, staffing, and customer service for all events, including set-up and breakdown, event logistics, vendor relations, and troubleshooting.
- Administers venue rentals with the Venue Manager, including preparing, executing, and monitoring contracts and agreements, preparing and issuing invoices, and working with relevant county departments to schedule appropriate staff for events.
- Maintains and assists with updating venue rental websites, social media accounts, and marketing efforts as needed.
- Arranges motion picture and television production filming on County-owned property.
- Supports County-sponsored special events and programs as needed.
- Performs other duties as required.
