Job Summary/Purpose

This position provides high-level administrative support primarily to the Investor Relations department, but may also provide support for other finance teams, as available. Support includes, but is not limited to, managing and coordinating complex and time-sensitive travel arrangements; maintaining and protecting highly confidential information, and being a point of contact for external parties and executives throughout the company.

Job Duties/Responsibilities

  • Provide daily administrative support to the Investor Relations department
  • Manage and coordinate complex and time-sensitive travel arrangements, including itineraries and logistics, for senior executives
  • Schedule meetings with the investment community
  • Schedule meetings to prepare for quarterly earnings calls as well as other investor events
  • Prepare, reconcile, and track expense reporting and reimbursement
  • Coordinate multiple executive schedules for all investor relations meetings, ensuring attention to detail
  • Coordinate publication of quarterly earnings release preparation materials
  • Assist with Investor Relations activities and events such as quarterly earnings, investor events, and meetings
  • Serve as records coordinator for investor relations, including organizing and safeguarding company files and information
  • Assist in ad-hoc reports as needed
  • Interact with other assistants for meetings and calendar management
  • Maintain external website for Investor Relations
  • Provide general support for the floor Investor Relations works on, coordinating with other assistants

  • Highly organized, can juggle many tasks at once, not easily overwhelmed
  • Highly flexible and proactive with a strong attention to detail while working in a fast- paced environment
  • Excellent interpersonal skills
  • Communicate effectively with existing and prospective investors
  • Ability to listen and communicate effectively both written and oral
  • Ability to build successful working relationships both internally and externally
  • Strong calendar management skills
  • Proficient in MS Office (Word, Excel, Outlook and PowerPoint)

Minimum Requirements

Minimum education required of the position

Typically requires vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Minimum Experience Required Of The Position

8+ years experience in the related field of administrative support
