Avion Wealth seeks a detail-obsessed, client-centric operations pro to own the day-to-day flow of client accountsonboarding, transfers, cash movements, and timely trading/rebalancing supportwhile partnering closely with Advisors, Compliance, and our custodians. You'll be the air-traffic controller who keeps paperwork clean, alerts cleared, money moving, and reports out the door on time. Scope includes model-based trading support (e.g., Tamarac), custodial liaison (Schwab/Fidelity), quarter-end processes, and light compliance tasks aligned to our fiduciary standards.

Key Responsibilities

  • Own new-account onboarding and ACATS/transfer workflow end-to-end; drive NIGO rates down and cycle times down.
  • In-house expert on complex account set up and paperwork requirements.
  • Establish money movement setup (ACH, journals, wires) with impeccable controls.
  • Function as the primary driver of quarterly and annual compliance activities.
  • Monitor and clear custodial alerts daily; proactively resolve with custodians and clients.
  • Support quarter-end: reconciliations, performance/client reports, and client statements.
  • Maintain accurate CRM and account system records; document every action contemporaneously.
  • Coordinate alternative-investment actions (subscriptions, capital calls, etc.) when applicable.
  • Manage and coordinate annual tax planning activities, including cost-basis updates and tax reports in partnership with advisors and tax professionals.
  • Triage and complete account maintenance (titles, trustees, address/web access changes).
  • Drive continuous process improvement and checklist discipline across operations.

Required Qualifications

  • 2-4 years in RIA client service/operations or account administration with custodian interface (Schwab/Fidelity).
  • Proven accuracy and speed handling alerts, account setup, transfers, and money movement maintenance.
  • Fluency in Excel and MS Office; comfort with checklists and deadlines.
  • Professional written and verbal communication; calm under pressure.

Preferred Qualifications

  • Bachelor's degree (or equivalent work experience).
  • Experience with Tamarac Advisor View and DocuSign/e-forms.
  • Familiarity with Salesforce CRM and document management.
  • Alt-investments processing (LPs, private funds, 529/DAFs).
  • Compliance awareness (SEC, BCP, Code of Ethics, recordkeeping).

Success Metrics / KPIs

New accounts opened with <3% NIGO rate; median ACATS cycle time 7 business days.
  • Custodial alerts cleared within 1 business day; zero unresolved aged items >5 days.
  • Quarter-end reporting accuracy 100% and on-time delivery.
  • Client/Advisor satisfaction (CSAT) 4.7/5 for ops tasks closed.

  • Reporting Line & Collaboration

    Reports to Wealth Management Team; partners daily with Wealth Advisors/Planners, Compliance, and our custodial service teams.

    Work Location & Schedule

    HybridThe Woodlands, TX; generally three days in office/two remote after satisfactory training completion. Occasional participation in custodian/vendor meetings and client events outside of business hours as needed.
