Description
This administrative position will act as backup Receptionist and Legal Support Assistant for the office listed above. This position will provide general clerical and legal assistance to all office staff and attorneys as needed. This position is an entry level, hourly position with the goal of potentially being promoted to a Legal Assistant after the completion of adequate training and professional development. This position will be assigned a dedicated Legal Assistant Mentor and Trainer.
BACKUP RECEPTIONIST
REQUIREMENTS
This administrative position will act as backup Receptionist and Legal Support Assistant for the office listed above. This position will provide general clerical and legal assistance to all office staff and attorneys as needed. This position is an entry level, hourly position with the goal of potentially being promoted to a Legal Assistant after the completion of adequate training and professional development. This position will be assigned a dedicated Legal Assistant Mentor and Trainer.
BACKUP RECEPTIONIST
- Perform all receptionist duties (open/close office, answer phones, greet clients, keep the office tidy).
- Scan and distribute mail.
- Communicate with clients in person, over the phone, and via email.
- Prepare/schedule conference rooms.
- Assist with Zoom and MS Teams conferences.
- Assist with preparation for meetings, prepare and schedule conference rooms.
- Assist legal assistants with general office duties.
- Assist legal assistants with conflict checks and opening of files.
- Witness and notarize document signings.
- Close files and dispose of obsolete files in accordance with the closed file policy.
- Assist with scanning files for closure.
- Assist with filing, labeling, and inventorying files.
- Provide in office support for legal assistants working from home.
- Assist with large copy or scanning projects.
- Assist with the compilation of closing binders, estate planning binders, and corporate minute books.
- Draft, edit, proofread, file, and send legal documents (including estate plans, business transaction documents, real estate closing documents, correspondence, invoices, pleadings, and any other documents as needed).
- Transcribe dictation from attorneys and format documents accordingly.
- Submit documents for recording as needed.
- Maintain organization of office.
- Maintain operational knowledge of all office equipment (scanners, copiers, fax machines, copitrack, and postage meter).
- Submit attorney business development reimbursement requests as requested.
- Attend staff meetings and trainings.
- Order lunches for various meetings.
- Events planning
- Time entry for Attorneys as needed.
- Perform other job duties as assigned.
- Complete assigned trainings. meetings, prepare and schedule conference rooms
REQUIREMENTS
- Must have a high school diploma or G.E.D. Associate’s degree is a plus but not mandatory
- Must have at least two years of administrative experience, preferably in a professional environment
- Must be reliable, trustworthy, and able to maintain confidentiality
- Must demonstrate basic computer skills:
- Familiar with MS Office Applications (Word, Excel, Outlook)
- Must demonstrate effective organizational and time management skills, including the ability to manage competing priorities
- Must have effective communication skills and ability to collaborate effectively with staff and Attorneys.
- Must be detail-oriented.
- Must be able to perform the essential functions of the job with or without reasonable accommodation.
