Role and Team

We are seeking a meticulous and highly organized Coordinator, Online Operations to join the ADESA Central Operations team. This role is critical in ensuring the accurate display and proper management of vehicle inventory for auction listings on ADESA.com, Simulcast, and DealerBlock. The Coordinator will proactively identify and resolve data discrepancies, incorrect configurations, and operational issues that could disrupt sales or misrepresent vehicles, thereby upholding the integrity of our online auction platforms.

Responsibilities

  • Conduct daily "High Bid Checks" for units with 20+ bids
  • Verify DealerBlock (DB) listings for consignor accuracy and ensure AMS Floor Prices align with reserve or buy prices.
  • Monitor inspections to prevent erroneous Light Buyer Look (LBL) units on DB, deciding on Condition Reports or unit removal.
  • Oversee active sales to avoid simultaneous DB listings, removing units without bids or coordinating on units with bids.
  • Handle Rejected Change of Sale Ownership (CSO) messages by adjusting AMS data or consulting auctions.
  • Update location fill-ins, cheat sheets, and post customer vehicles to DB with auction data.
  • Conduct data audits for errors and root causes, developing solutions for high data quality.
  • Perform Quality Control (QC) on listings, checking for VIN errors, missing vehicles, and report visibility.
  • Respond promptly to emails from auction locations and support staff.
  • Collaborate with internal teams like Fleet Lease, Dealer Relations, and Dealer Registration.
  • Prioritize tasks, manage projects, and adapt to a dynamic, fast-paced environment.
  • Identify gaps, suggest improvements, and implement streamlined procedures.

Qualifications

  • High School diploma or equivalent required; Bachelor's degree preferred.
  • Attention to detail
  • Analytical Skills & Proven ability to gather, review, and compare evidence to determine claim validity and fair resolution.
  • Exceptional Communication & Conflict Resolution: Strong written communication for conveying decisions professionally; excellent negotiation, de-escalation, and dispute resolution skills for intricate situations.

Beneficial Skills

  • Background in automotive mechanics or reconditioning.
  • Familiarity with AI tools for data analysis or communication.
