Job Profile Summary

The Onboarding Coordinator plays a key role in delivering a consistent, high-quality onboarding experience for all new hires. This position is responsible for supporting and coordinating onboarding activities and initiatives, ensuring every new employee feels welcomed, prepared, and set up for long-term success. This role requires strong organizational skills, attention to detail, and a passion for creating meaningful, engaging experiences.

Essential Functions And Responsibilities

  • Guide new hires and hiring leaders through key pre-start logistics
  • Collaborate with Talent Acquisition, Benefits, IT, Security, and Facilities to ensure all equipment, system access, and workspace needs are met
  • Organize welcome materials, coordinate badge photos, and arrange travel as needed
  • Support the planning and execution of in-person and virtual onboarding events (e.g., New Hire Orientation)
  • Host and/or provide operational support to ensure a seamless Day One experience
  • Manage logistics, track attendance, and provide follow-up communications
  • Monitor and coordinate onboarding milestones (30/60/90-day check-ins, one-year anniversaries)
  • Facilitate touchpoints between new hires, leaders, and mentors
  • Maintain and update onboarding content, tools, and communication timelines
  • Provide support for regional-specific onboarding needs
  • Enter, track, and maintain onboarding data using Workday, Outlook, Microsoft Teams, and SharePoint
  • Generate and analyze reports to measure onboarding effectiveness
  • Coordinate and manage onboarding communications across platforms
  • Document and evolve onboarding procedures and best practices
  • Serve as a welcoming, knowledgeable point of contact for new hires and leaders
  • Equip hiring leaders with onboarding tools, resources, and timely reminders
  • Collect feedback and identify opportunities for continuous improvement
  • Foster a sense of belonging for employees across office and field locations

Education

  • Associate's Degree in business, communications, human resources, or related field or 2+ years of equivalent experience in a coordination, training, hospitality, or customer-facing role.

Work Experience

  • 1 - 2 years related work experience and training related to:
    • Hospitality, training, or customer-facing role
    • Project or event planning experience
    • Interpersonal/communication skills
Knowledge, Skills And Abilities

  • Skills in: MS Office applications, MS Word, Excel and Outlook
  • Ability to: learn HR Systems (Workday)
  • Ability to: compile, prepare and interpret information and reports pertaining to new employee data
  • Ability to: develop information and data to support onboarding activities and improvements needed
  • Ability to: communicate and/or exchange written and verbal information or instructions
