Position OverviewThe Assistant to the School Business Officer understands and promotes the school's mission, vision, objectives, and policies both within and outside the immediate school community. The Assistant to the School Business Officer assists managing the business affairs of the district efficiently and effectively to ensure that the educational support services help to achieve the educational goals of the district with the available financial resources.Responsibilities & duties (including, but not limited to)Budget & FinanceAssist to ensure adherence to school's fiscal policy and procedures; participate in annual financial audit process by providing documentation as needed to auditorsAssist to coordinate on-site components of the school's financial systems such as purchase orders, payroll records, grant reports, and financial forms reportsAssist to maintain accurate records of all financial transactions for school based accounts and submit payment requests for processingPerforms other duties as required.School Administration Assist in ensuring the school is adhering to all local compliance and reporting requirements, as per calendars and guidelines provided by the State Education DepartmentAssist to build and support school systems and routines including arrival, late pickup, lunch and recess, dismissal and processes supporting students and staffBe highly present and visible during school hours, relentlessly ensuring the school has an exceptional school cultureAssist to ensure the timely implementation of all items on the monthly administrative calendarAssist and participate actively when necessary in faculty meetings, administrative team meetings and other meetingsAssist to ensure the procurement of all materials, supplies and services necessary for efficient operation of the school are contracted in accordance with the Federal, State and Department of Education regulationsManagement and LeadershipAdhere to the policies, standards, and school-wide responsibilities described in the "Staff Handbook"Assist with the supervision of the school-based Operations support staff (Operations Associate, Child Nutrition, Department and contracted vendors)Maintains confidentiality as required and appropriateEnsure an orderly, responsive, friendly and open schoolProject Management Assist to develop the strategy and implementation plan for school-wide projectsEach year, assist in preparing the campus for start-up/new school year by creating project plans, divisions of labor and organizing staff around ordering furniture, equipment, and classroom supplies as well as ensuring that school services (i.e. student food services, student transportation services) are lined up and ready for actionAssist the School Business Officer to ensure that all government and authorizer grant proposals and reports are completed on timeStudent Enrollment & ServicesAssist in preparations for open housesAssist with setting up meetings for various departmentsGeneral Responsibilities Participate in operations meetingsParticipate in school wide events including Open House, and Parent Teacher Conferences Perform other related duties as required and assignedWork experience & skills At least 3 years of operations management experience in a fast-paced, entrepreneurial environmentMinimum 2 years work experience in data management or a similar environmentPrior experience working in schools and/or urban communitiesBachelor's degree required in business administrationMaster's degree preferred in business administrationExperience with project-management and developing a long-term strategic planExcellent organizational, planning and implementation skillsExcellent communication skills, both verbal and written, and strong interpersonal skills with students, parents, colleagues, and community membersProficiency in Google Platform, Microsoft Excel, PowerPoint, Word, Quickbooks and OutlookPersonal qualities & behavioral traits Passionately dedicated to school's mission and visionDevelops and maintains positive communications and working relationships with students, parents, and co-workers by being collaborative and maintaining a pleasant work attitudeAbility to maintain a calm and professional demeanor in the face of competing demands and external pressuresAcute attention to detail coupled with the ability to think strategicallyStrong time management skills;
