Pay Range: $20 – $25/hour, depending on experience.

Job/Position Summary

We’re looking for a HR & Scheduling Assistant who shares our passion for supporting the people who make our programs possible. This position will work closely with the HR Manager to manage staff scheduling, assist with HR tasks, and provide administrative support to ensure our programs run smoothly for our staff and the students we serve.

Essential Job Functions

Key Responsibilities

  • Assist with staff scheduling for afterschool programs and special events. Maintain and update scheduling spreadsheets and records.
  • Support HR processes, including onboarding paperwork, maintaining personnel files, and assisting with compliance tracking.
  • Compile and organize data in Excel for reporting purposes.
  • Communicate schedule changes to staff and ensure coverage for shifts.
  • Provide general administrative support to the HR Manager.

Requirements

Minimum Education, Experience & Training Equivalent to:

  • 1+ year of administrative, HR, or scheduling experience preferred.
  • Experience with Paylocity systems is a plus.
  • B.A. or B.S. Degree preferred. High School Diploma/GED or equivalent required.

Knowledge, Skills, & Abilities

  • Sensitivity to working with an ethnically, linguistically, culturally, and economically diverse population.
  • A commitment to the values of the organization while demonstrating good judgment, flexibility, patience, and discretion when dealing with confidential and sensitive matters.
  • Proficient in Microsoft Office (Outlook, Word, Excel, etc.) or Google Sheets, especially Excel and related computer software.
  • Ability to maintain the highest levels of confidentiality.
  • Ability to work in an exciting, fast-paced high-energy environment while effectively multitasking.
  • Personable; able to work comfortably with individuals at all levels within the organization.
  • Frequent proofreading and checking documents for accuracy.
  • Excellent verbal and writing communication skills.
  • Must be highly detail-oriented.
  • Strong interpersonal skills.

Physical Requirements

  • Must be able to communicate effectively within the work environment, read and write using the primary language with the workplace.
  • Visual and auditory ability to work with students, staff and others in the workplace continuously.
  • Frequent speaking and listening (25-75%) to students, staff, and others in the workplace.
  • Ability to utilize a computer, cell phone, telephone and copy machine.
  • Frequent sitting.

Conditions of Employment

  • Ability to obtain and maintain criminal record clearance through the Department of Justice (DOJ). The HR department must analyze DOJ/FBI live scan reports in accordance with applicable Federal, State, and Local laws, as well as fitness for the position.
  • Negative TB test within the last 4 years
  • Able to travel to multiple work sites.
  • Must attend any PlayCV required training.
