Perform a variety of tasks aimed to optimize the time and performance of Senior Vice President and may act on their behalf. Tasks may involve acting as a first point of contact, managing correspondence and emails, managing schedules, organizing meetings and appointments, controlling access to the Senior Vice President, and participating in projects.

Compensation

$72,000 - $86,000 annually

What you’ll do

  • Creates complex reports, agendas, minutes of meetings, emails, administrative processes and systems to develop and test administrative procedures to ensure they are fully in line with divisional/organizational needs. 
  • Organizes and prepares complex documents using a variety of applications for technology devices such as standard office software. Also responsible for gathering and summarizing data for special, complex reports.
  • Arranges venues, equipment, catering, accommodation, and travel for participants arriving from various locations to ensure the smooth running of meetings and events.
  • Assists in making a broad range of inquiries by email or other means with any requests for information, directing more complex matters to leadership as necessary. Initiate contact internally and externally on a regular basis to convey requests, provide instructions or obtain information on behalf of leadership.
  • Assigns work schedules to teams to achieve expectations while following established timelines.
  • Develops and deliver multi-mode communications that convey a clear understanding of the unique needs of different audiences. Listens attentively and takes an interest, keeps others well informed, and conveys information clearly, concisely, and professionally when speaking or writing.
  • Plans various events such as team events and celebrations.
  • Makes good and timely decisions that keep the division moving forward. Seek coaching from others to address routine problems; learn to handle these issues effectively.
  • Builds strong relationships and delivers customer-centric solutions. Keep in contact with internal/external customers to ensure problems are resolved, or to improve service. Study feedback and emerging needs and uses these to determine some creative new ideas.
  • Knows the most effective and efficient processes to get things done, with a focus on continuous improvement. Use metrics and benchmarks to monitor accuracy and quality. Take steps to make methods productive and efficient.
  • Prepares and distributes agenda and corresponding materials for assigned Board committee meetings. Takes accurate minutes and maintains all committee files.

  • Ability to function well in a high-paced and at times stressful environment. 
  • Uses clear and effective communications skills and provides technical guidance when required on expressing ideas, requesting actions and formulating plans.
  • Supports business processes by understanding and effectively using standard office equipment while providing technical guidance as needed.
  • Works without supervision and provides technical guidance when required on planning, organizing, prioritizing and overseeing activities to efficiently meet business objectives.
  • Uses an understanding of numerical concepts to perform mathematical operations such as report analysis to provide data and information to leadership as needed. 
  • Works without supervision and provides technical guidance when required on reviewing and creating relevant, lucid and effective reports.


Education and Experience

  • Bachelor's degree required or 8 years previous experience in lieu of degree.
  • 5 years administrative experience supporting high level leader required.
  • Basic experience of coordinating the work of others (4 to 6 months).


Physical Requirements
