Short Description
Tracks all project activity for VP and Directors utilizing gant charts, MS Excel, MS Project or other approved methods.
Provides cross-training to others in the department to assure steady job coverage of executive assistant duties.
Provides executive administrative support to the Vice President and Directors.
Manages telephone messages, calendars, coordinates meetings and demos, records and distributes minutes for VP and Directors.
Anticipates changes and keeps VP & Directors informed of operational issues and/or challenges.
Responsible for coordinating travel arrangements for VP and Directors.
Provides status reports on project deadlines and participates in meetings as needed.
Composes correspondence as needed for VP and Directors.
Assists in budget forecasting and manages expenses of departments.
Responsible for procuring office supplies and equipment, i.e. telephones, desks, PCs, etc.
Submits requests for purchase orders for VP and Directors.
Experience Required
Minimum of 4 years' experience in secretarial, office manager role or program coordinator
Education Requirements
High School Diploma or Equivalent required. Bachelor’s degree preferred.
