The Sales Support Representative (SSR) plays a critical role in supporting the Inside Sales team by ensuring accurate and timely processing of quotes and orders, coordinating with vendors and internal departments, and maintaining strong communication with both customers and suppliers. This position ensures the smooth execution of sales activities and provides essential backup support to maintain seamless service delivery in the absence of Inside Sales team members.

This is a remote position with no travel required.

Responsibilities

Quote & Project Support

  • Assist the Inside Sales team with preparing and finalizing large or repetitive quotes (including RUS bids), ensuring accuracy in pricing, availability, and lead times.
  • Support coordination of large projects and bids by maintaining detailed communication with sales team members and vendors to meet deadlines.

Vendor Management

  • Establish and maintain effective relationships with key vendors.
  • Request and track pricing, lead times, and product availability to support sales efforts and customer expectations.

Order Processing & Documentation

  • Submit finalized quotes for order entry and processing, following established internal procedures.
  • Enter and maintain part numbers accurately in internal systems for quoting, ordering, and inventory tracking purposes.
  • Maintain organized records of quotes, orders, and vendor communications.

Customer Support

  • Respond to urgent customer inquiries regarding orders, issues, and product questions via email and phone.
  • Work cross-functionally with logistics, finance, and operations to resolve customer issues quickly and professionally.

Reporting & Inventory Monitoring

  • Maintain and update the Open Order Report, ensuring visibility into order status, backorders, and ETAs.
  • Monitor key customer inventory levels, identify potential issues or delays, and proactively communicate with stakeholders.

Sales Team Coverage

  • Act as the primary point of contact for assigned customers during Inside Sales team absences.
  • Take ownership of all daily sales support responsibilities to ensure uninterrupted service and allow team members to disconnect during PTO.

Additional Responsibilities & Qualifications

  • 2+ years of experience in a sales support, customer service, or inside sales role, preferably within the telecommunications or distribution industry.
  • Strong familiarity with broadband, wireless, or wireline products is highly preferred.
  • Proficiency in Microsoft Office (Excel, Outlook, Word); experience with CRM and ERP systems a plus.
  • Excellent organizational and time-management skills; ability to handle multiple priorities under tight deadlines.
  • Strong verbal and written communication skills with a high level of professionalism.
  • Analytical thinker with a keen eye for detail and accuracy.
  • Ability to work collaboratively with cross-functional teams and maintain productive vendor relationships

KPI's (Key performance Indicators)

  • Quote & Order Entry Accuracy
  • Definition: % of quotes and orders entered into systems without errors (pricing, part numbers, quantities, terms).
  • Measure of Success: (Accurate Entries ÷ Total Entries) × 100
  • Target: = 99%
  • Administrative Task Completion Rate
  • Definition: % of assigned daily/weekly admin tasks completed on-time
  • Measure of Success: (Tasks Completed On-Time ÷ Tasks Assigned) × 100
  • Target: = 98%
  • Open Order Report Accuracy
  • Definition: Accuracy and timeliness of weekly updates to the Open Order Report.
  • Measure of Success: (# of Accurate Weekly Updates ÷ Total Weeks) × 100
  • Target: 100%
  • ISR Coverage Support
  • Definition: % of daily ISR support tasks (emails, order tracking, customer updates) completed during ISR absences.
  • Measure of Success: (Coverage Tasks Completed ÷ Coverage Tasks Assigned) × 100
  • Target: = 95%
