Description: The Office Administrator is responsible for ensuring the smooth running of our office operations and providing administrative support to various departments.

- Administrative Support: Provide administrative support to all departments, including but not limited to managing correspondence, scheduling meetings, and maintaining office supplies.
- Construction Administration Support: Provide support to the Construction Field Representatives including but not limited to typing of meeting notes, project close outs, submittal coordination, HSHS monthly notes and agendas, and action items
- Reception Duties: Serve as the first point of contact for visitors and callers, handling inquiries and directing them to the appropriate person or department.
- Office Management: Oversee the day-to-day operations of the office, including maintaining office equipment, managing vendor relationships, and coordinating office lunches/meals/meetings. Responsible for ensuring common spaces, including conference rooms, are clean, organized and have appropriate supplies.
- Travel Coordination: Assist with travel arrangements for staff, including booking flights, accommodation and transportation as needed.
- Document Preparation: Prepare and format documents, reports, and presentations as requested by management or staff, including providing support with specification documentation and editing.
- Filing and Organization: Maintain organized filing systems, both electronic and physical, to ensure easy retrieval of documents and information.
- Assistance to Leadership: Provide administrative support to Principals and other leadership, including calendar management, meeting coordination, and other tasks as assigned.
- Associate’s degree in business administration, office management, or a related field or equivalent in experience, preferred.
- 2-4 years office administration experience or a similar role, preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software, required.
- Excellent verbal and written communication skills, with the ability to interact professionally with staff at all levels.
- Strong organizational skills with the ability to prioritize tasks and manage time efficiently.
- High level of accuracy and attention to detail, with a focus on quality and thoroughness in all tasks.
- Ability to solve problems by utilizing resources and determine the best path to solve.
- Duties of this position are performed in a normal office environment.
- Duties may require extended periods of sitting and sustained visual concentration on a computer monitor or on numbers and other detailed data.
- Repetitive manual movements (e.g., data entry, using a computer mouse, using a calculator, etc.) are frequently required.
- Occasional travel may be required.
- Occasionally required to stand; walk; climb, balance; stoop, kneel, crouch, or crawl.
