Duties and Responsibilities:
- Answer telephone calls with a courteous demeanor, directing them appropriately within a timely manner.
- Manage multiple telephone lines.
- Take and record telephone, e-mail, or written messages for staff members.
- Attend to patient and family visitors with empathy and professionalism.
- Respond to e-mail inquiries, referring to all inquiries to appropriate individuals.
- Sort and manage inbound/outbound mail, including packages, courier services, and other correspondence.
- Receive, log and distribute signature items.
- Maintain the reception area in a tidy and presentable manner.
- Provide clerical assistance as needed to support department functions, such as typing, filing, photocopying, faxing and ordering of department supplies.
- Operate technical equipment safely and appropriately.
- Ensure meeting rooms are prepared before meetings and returned to the original state following meetings.
- Assist with special projects/assignments.
- Assist hospital staff, medical staff, public, and patients.
- Other miscellaneous duties and responsibilities as assigned.
Knowledge
- Knowledge of office practices and procedures is normally acquired through six (6) months’ office experience.
- PC knowledge of Word and Excel required; PowerPoint preferred.
- Skill and ability to follow telephone etiquette/standards
- Ability to type and perform data entry accurately.
