Brief Description

Job Objective: Under the supervision of the Director of Safety and Security, competently provides receptionist duties as well as a variety of clerical duties. As a front-line worker, present a positive and professional image of the Hospital to all staff, callers, suppliers and visitors.

Duties and Responsibilities:

  • Answer telephone calls with a courteous demeanor, directing them appropriately within a timely manner.
  • Manage multiple telephone lines.
  • Take and record telephone, e-mail, or written messages for staff members.
  • Attend to patient and family visitors with empathy and professionalism.
  • Respond to e-mail inquiries, referring to all inquiries to appropriate individuals.
  • Sort and manage inbound/outbound mail, including packages, courier services, and other correspondence.
  • Receive, log and distribute signature items.
  • Maintain the reception area in a tidy and presentable manner.
  • Provide clerical assistance as needed to support department functions, such as typing, filing, photocopying, faxing and ordering of department supplies.
  • Operate technical equipment safely and appropriately.
  • Ensure meeting rooms are prepared before meetings and returned to the original state following meetings.

Non-Essential Duties:

  • Assist with special projects/assignments.
  • Assist hospital staff, medical staff, public, and patients.
  • Other miscellaneous duties and responsibilities as assigned.

Knowledge, Skills and Abilities:

Knowledge

  • Knowledge of office practices and procedures is normally acquired through six (6) months’ office experience.
  • PC knowledge of Word and Excel required; PowerPoint preferred.

Skills

  • Skill and ability to follow telephone etiquette/standards

Abilities

  • Ability to type and perform data entry accurately.

Education and Qualifications:

  • High School diploma or equivalent preferred.
