POSITION SUMMARY
As an In-House Marketing Coordinator, you will be responsible for the preparation and smooth transition of new residents into the community. You will communicate with prospective residents and their family members, moving companies, maintenance, and housekeeping. You will serve as the point person for every move from start to finish, working closely with the sales team and management.

You will communicate with prospective residents and their family members, moving companies, maintenance, and housekeeping. You will serve as the point person for every move from start to finish, working closely with the sales team and management.
Essential Duties And Responsibilities
In addition to all components of the above position summary the following “Essential Duties and Responsibilities” are essential to successful performance in this position
- Serves as the primary contact for community tours
- Assists with ensuring collateral materials are available for marketing use, showrooms are ready to show, and maintains an up-to-date marketing tour book for the community
- Visits skilled nursing facilities and meets with referral partners to assess and support potential resident transitions, gather paperwork, insurance verification and confirm eligibility prior to move in
- Collects all necessary paperwork required for closing and distributes it to the appropriate stakeholders
- Follows up with private pay families to answer questions, support decision-making, and close pending move-ins
- Works in conjunction with team members to ensure accurate reporting of occupancy, reservations, and upcoming move-outs
- Prepares closing documentation and internal communications in a timely and accurate manner
- Ensures room readiness, including purchasing resident supplies, bedding, décor, and lamps
- Prepares room and mailbox keys
- Creates welcome signs for doors and name tags for door plaques
- Completes and accurately follows the new move-in checklist
- Prepares all necessary paperwork and builds the new resident administrative file
- Creates and maintains the Resident Directory
- Coordinates introductions to department heads at the community
- Regularly checks in with new residents on a weekly basis during their first 30 days
The incumbent in this position has no supervisory responsibilities
Education/Experience/Credentials
- Bachelor’s degree preferred, but a history of administrative work experience is a perfect substitute
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Proficiency in CRM software and Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Creative thinking and problem-solving abilities.
- Knowledge of social media platforms and trends.
