General Job Description
This critical role involves supporting the Construction Administration Department by performing administrative assistant duties. They should demonstrate strong critical thinking, effectiveness, and an unwavering pursuit of excellence.
Key Duties And Responsibilities
- Manage and maintain Practice Leader and Construction Administrators’ calendar, coordinating internal and external meetings.
- Manage department contact lists, distribution lists, and communication channels.
- Organize logistics for external meetings, including agenda preparation, meeting notes, and follow-ups.
- Organize and maintain documentation across Procore, Autodesk Construction Cloud and Newforma.
- Track commitment and tasks across the department and follow up.
- Maintain department correspondence, opening, sorting, filing, and distributing mail and email appropriately.
- Prepare reports, presentations, and documentation as requested.
- Process and track expense reports and liaise with accounting on behalf of the Practice Leader.
- Assist the department in completing reports, correspondence, and documentation.
- Assist Construction Administrators with administrative tasks as needed.
- Monitor compliance with company standards for file naming, folder structures, and use of Newforma/SharePoint project platforms.
- Education Requirements: Bachelor’s Degree in business, project management, or a related subject area preferred.
- Work Experience: 3 or more years of experience in A/E contracting, design, and construction.
- Computer Skills: Ajera, Microsoft Office Suite, ATS System, Autodesk Construction Cloud, Procore
