How You’ll Contribute
As Content Coordinator, you will help us reach our strategic growth goals by supporting the marketing team in project pursuits and internal and external communication.
The Content Coordinator plays a critical role on Russell’s Marketing & Communications team, supporting pursuit efforts, marketing initiatives, and internal/external communications through the creation, organization, and delivery of compelling content. Working closely with the Vice President of Marketing & Client Relations, this role ensures that proposals, presentations, collateral, events, and digital initiatives are supported with high-quality, brand-consistent materials.
The Content Coordinator plays an important part in advancing Russell’s marketing initiatives—including OpenAsset with AI integration launch, proposal material overhaul, social media refresh, new Sharepoint and websites, swag and signage updates, video production, and brand guideline refresh. This role requires exceptional attention to detail, organizational skills, and a collaborative mindset.
Proposal & Pursuit Support – 50%

Proposal & Pursuit Support – 50%
- Schedule pursuit kick-off, interview, and post project calls for the marketing team
- Work with Pursuit Strategist to create proposal materials, including resumes, project sheets, and boilerplate content from OpenAsset and SharePoint
- Proofread and edit all proposal documents for grammar, formatting, and brand compliance
- Support pursuit strategy by gathering project data, coordinating inputs, and ensuring deadlines are met
- Create executive summaries for all interviews or face to face meetings
- Physically execute interview materials such as printouts, storyboards, handouts, and gathering branded visuals
- Take ownership of all government proposals (municipal, state, and federal) with the support and guidance of the Communications & PR Manager, including drafting narratives, coordinating inputs, and ensuring compliance with submission requirements
- Oversee content governance and updates for SharePoint and the website to ensure a seamless, consistent, and engaging user experience
- Maintain the marketing library, ensuring project profiles, bios, resumes, program studies, and case studies are accurate, up to date, and accessible
- Assist in developing and updating all marketing library content to support proposals, pursuits, and business development needs
- Own the management of all assets within OpenAsset and drive continuous improvement in Russell’s adoption and utilization of the platform
- Assist the coordination of swag requests, inventory, and distribution for offices, clients, and events
- Assist with social media scheduling, monitoring, and content preparation as part of the brand refresh initiative
- Track and report key marketing metrics, including campaign performance, proposal outcomes, and client engagement data
- Assist with with expense tracking, invoicing, and budget documentation for marketing activities
- Ensure accurate tracking of pursuits, proposals, and events within marketing systems and tools
- Compile regular reports for leadership to measure progress against marketing and business development goals
- Coordinate with external vendors for printing, photography, videography, and branded materials to ensure consistency and quality
- Schedule meetings, take notes, and track action items for the marketing and client relations team
- Provide administrative support to the VP of Marketing & Client Relations, including project tracking, follow-up on initiatives, and to ensure L10s are run effectively, fostering alignment, accountability, and meaningful outcomes
- Provide logistical and administrative support for events such as groundbreakings, ribbon cuttings, topping off ceremonies, and trade shows
- Contribute fresh ideas and feedback to improve processes and tools within the marketing department
- Provide support for corporate sponsorship events such as the Bix 7 Road Race and Russell’s Annual Bass Tournament in the Quad Cities
- Assist with execution of office displays and storytelling within branded environments
- Act as an extension of the Executive Support Team during high-profile initiatives or events
- Bachelor’s degree in Marketing, Communications, Journalism, English, or related field (or equivalent experience)
- 1–3 years of content development, marketing, communications, or pursuit support experience (internships included)
- Proficiency in Microsoft Office, Adobe Creative Suite, InDesign, Canva, or similar design tools preferred
- Experience with CRM systems, OpenAsset, or proposal software a plus
- Strong portfolio of writing and content samples preferred
- Interest in the AEC industry and eagerness to grow within a dynamic marketing team
