We are currently seeking a Program Assistant to join our Janitorial Maintenance Service department. Reporting to the Program Director, this person will assist in providing administrative support, such as managing calendars, preparing materials, and coordinating meetings. This role will be pivotal in ensuring that the operations of JMS run efficiently and smoothly. This is a hybrid position, Monday - Friday, 8am-4pm requiring two days in the office and 3 days remote. Hybrid schedules are scheduled to change.

Salary: $26/hr

Requirements

Essential Duties:

  • Develop and update documentation for departmental processes and procedures
  • Prepare invoices, assist with payroll functions, and onboard new clients
  • Schedule and maintain communication with office staff, various departments, and clients
  • Liaise with vendors and clients, providing excellent customer service
  • Develop and maintain program database and spreadsheets
  • Compile verify and format data from various sources for reports and special project
  • Ensure program records and participant data are accurate and up to date
  • Act as a back-up for the Business Coordinator in their absence
  • Manage janitorial inventory
  • Performs other duties assigned
  • In person attendance is required to collaborate with others

Minimum Qualifications

  • High School Diploma, or equivalent
  • A minimum of two years working as an administrative assistant, program assistant or similar role

  • Proficiency in MS office suite (word, excel)
  • Exceptional attention to detail
  • Strong organizational and multi tasking abilities
  • Excellent written and verbal communication skills
  • Ability to work independently and a part of a team
