Job Objective: Under the supervision of the Department Director, Assistant Directors and/or Registered Nurse in charge must be able to competently perform department secretarial tasks as well as various supportive duties.
Essential Duties:
- Meets requirements, essential duties, skills and abilities, non-essential duties & responsibilities of a Secretary I and II for clinical units
- Schedules meetings and appointments
- Answers and screens phone calls and visitors to director’s office
- Updates and maintains policy and procedure manuals under the direction of management
- Updates department disaster wheel and call list
- Orders dietary, clerical, and departmental supplies
- Assist patients, family members, visitors, doctors, nurses, or other Medical Center staff with inquiries
- Handles equipment malfunctions and/or necessary replacements under the direction of supervisor
- Acts as a representative for department on committees
- Coordinates necessary procedures with other departments or Medical Center
- Coordinates staffing needs in the department
- Handles incoming crisis calls
- Coordinates with Law Enforcement/EMS when necessary
- Processes patient paperwork ensuring all necessary information in attached for proper billing
- Assist nurses and providers as needed
- Coordinates paperwork and disposition of expired patients
- Maintains physician on call schedule
- Assist Unit Educator in maintaining employee files, preparing educational classes for department
- Coordinates paperwork and disposition of patient transfers
- Daily staffing paperwork for nursing staffing office
- May compile and coordinate reporting to outside agencies for restraints, elder and child abuse, and assault forms
- Demonstrates knowledge of current EMTALA regulations and how they apply to the Emergency Department, especially in regard to transfer of patients
- Attends a minimum of 50% of the staff meetings annually

- Ability to adhere to safety rules and regulations
- Safely and effectively uses all equipment necessary to carry out duties
- Ability to interpret and function under hospital and department policies and procedures
- Conforms with required and appropriate JCAHO requirements
- Conforms with and supports hospital quality assurance and improvement guidelines
- Ability to participate effectively in department and hospital staff education
- Display a willingness to work as a team player

- Ability to demonstrate knowledge and understanding of Corporate Compliance rules and regulations, complies with duty to report behavior standard, demonstrates understanding of purpose for Corporate Compliance hotline and importance of seeking guidance from a supervisor when in doubt regarding a possible Corporate Compliance issue
