We are looking for a detail-oriented Administrative Support Specialist to help keep daily operations running smoothly. This role involves handling documentation, purchase orders, inspections, and general office support.

While performing the duties of this job, the employee is regularly required to sit, stand, walk, use fine finger manipulation, use hands to handle and grasp, reach with hands and arms, and talk or hear. The employee is occasionally required to climb and balance, bend, stoop, twist, and/or crouch. Overtime may be required to meet project deadlines.

Job Responsibilities
- Organize and label incoming materials and parts to support production workflows
- Assist with obtaining quotes and generating purchase orders for raw materials, steel, and components
- Monitor open purchase orders and follow up with vendors to ensure timely deliveries
- Maintain purchasing records, vendor files, and documentation for compliance purposes
- Perform basic incoming and final inspections using hand tools and measurement equipment
- Quarantine and document non-conforming materials and assist with quality audits
- Prepare and organize work orders, drawing packages, and final data packs for shipments
- Maintain accurate records for calibration, maintenance, safety, training, and quality documentation
- Provide ERP data entry support for new orders, materials, and purchasing activities
- Answer and route phone calls, greet on-site visitors, and manage incoming/outgoing mail
- Assist with HR tracking, including compliance, training records, and general administrative support
- Maintain and update marketing email lists, newsletters, and customer communications
- Support cross-functional teams with documentation, reporting, and project coordination as needed
- Ensure confidentiality, organization, and integrity of company records and data
- Minimum of 1 year of office experience in an administrative, support, or related role
- Basic computer skills with experience using Microsoft Office (Excel, Word, PowerPoint, Outlook)
- Strong attention to detail and ability to accurately follow written and verbal instructions
- Ability to define problems, collect data, establish facts, and draw valid conclusions to support verification and decision-making
- Must demonstrate a strong work ethic and the ability to complete tasks without constant supervision
- Strong time management and organizational skills in a multitasking environment
- Ability to work independently as well as collaborate effectively with cross-functional teams
- High school diploma or equivalent required; additional education or certifications a plus
- Prior experience in a manufacturing or industrial setting is helpful but not required
