Position Summary: The Office of Community Supports and Wellness (OCSW) removes barriers, strategically allocates resources, improves coordination of instruction and services, and prioritizes engagement and wellness for all students and families, especially those from vulnerable populations. Through its core initiatives including School Wellness Programs, Community Schools, Strategic Partnerships, Students in Temporary Housing and Foster Care, and the Attendance, Research, and Innovation team, OCSW works to ensure that every student has access to the support they need to thrive. We engage with district leaders, school communities, community partners, and families to implement a community school model, empower STH staff and shelter sites, and lead a comprehensive wellness strategy. These efforts are designed to foster physical and emotional well-being, improve attendance, and promote long-term academic and post-graduate success.
Reporting to the Human Resources Director, the HR and Operations Coordinator plays a vital role in supporting the operational and human capital functions of the Office of Community Supports and Wellness (OCSW), with a strong focus on advancing services that benefit schools and the broader community. This position ensures that staffing and resource allocations align with programmatic goals and community priorities by collaborating closely with OCSW operations teams and program offices. The position manages key HR processes, maintains accurate personnel records across multiple systems, and facilitates timely communication between OCSW, central HR units, and external stakeholders. In addition, the role supports vendor coordination to ensure effective service delivery and compliance with procurement guidelines. Through data tracking, reporting, and process improvement, the coordinator helps drive efficient operations that directly impact school-based programs and community engagement efforts. Performs related work.

Direct Reports: N/A
Key Relationships: OCSW leadership, HR and Operations leads across OCSW offices, the Division of Human Resources, Division of Budget Operations and Review, and other central New York City Public Schools (NYCPS) offices.

Responsibilities
- Serves as a liaison between OCSW program offices and central HR units, ensuring timely resolution of payroll, benefits, and staffing inquiries.
- Collaborates with the Operations team to ensure that staffing and resource allocations reflect community priorities and programmatic goals.
- Serves as a liaison between OCSW program offices and external stakeholders to ensure alignment of services and responsiveness to community needs.
- Establishes and maintains cooperative working relationships with internal departments and external partners.
- Coordinates with vendors and service providers to support program delivery, including managing logistics, tracking deliverables, and ensuring compliance with procurement guidelines.
- Supports human capital tracking and staffing approval processes in coordination with the Operations team.
- Prepares reports and documentation to monitor key benchmarks and inform decision-making.
- Assists with day-to-day HR operations, including timekeeping, leave management, and personnel processing.
- Utilizes multiple HR and payroll systems to maintain accurate personnel records and ensure data alignment across platforms.
- Coordinates the creation and posting of per-session vacancy circulars and manages related timekeeping and recordkeeping processes.
- Oversees office support functions, including equipment inventory, purchasing, and archiving in compliance with NYCPS policies.
- Identifies and implements process improvements to enhance operational efficiency and service delivery.
- Supports special projects and workflow management in collaboration with the Chief Operating Officer.
- Provides general administrative support, including data entry, filing, and responding to inquiries with urgency and professionalism.
Minimum
- A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
- High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
- Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above.
In addition to meeting the minimum requirements, individuals must have two additional years of the experience described in "1" above.
Preferred
- Experience with and knowledge of NYCPS operations, timekeeping, personnel, and procurement.
- Strong spoken and written communication skills.
- Excellent interpersonal skills.
- Attentive to detail, extremely well-organized, able to work under pressure, and meet frequent and changing deadlines.
- Experience with and knowledge of NYCPS human resources, purchasing, and payroll systems.
- Strong Microsoft Office 365 application skills.
- Knowledge of NYCPS policy and procedures and the ability to interpret and apply policies effectively.
- Ability to learn quickly and thrive in a fast-paced work environment.
- Ability to work effectively independently and as part of a team.
