Job Summary
The Accounting Coordinator is a key member of the Indiana Family to Family team. They provide day-to-day support for the organization by working with the Executive Director, outsourced accountant, and other team members to ensure the financial stability of the organization. They report directly to the Executive Director but will provide support broadly for the team with priority given to key operational duties and assignments from the Executive Director.

Preferred hours are between 8:30 a.m.-5 p.m. on weekdays, rare evening or weekend hours for special events. Remote work requires stable Wi-Fi with sufficient bandwidth to support video conferencing, cloud-based tools, and other work-related activities. The Coordinator can expect light to medium physical exertion and the ability to lift <30 pounds and walk from medium to long distances.

Job Summary
The Accounting Coordinator is a key member of the Indiana Family to Family team. They report directly to the Executive Director but will provide support broadly for the team with priority given to key operational duties and assignments from the Executive Director.
Essential Duties
Financial Coordination 55%
- Maintain ongoing oversight of all fiscal operations, ensuring that INF2F fiscal processes and policies are followed.
- In conjunction with the contracted accountant, process and prepare payments to vendors by routing and obtaining necessary signatures.
- Maintain electronic log of checks received per INF2F fiscal processes and policies in conjunction with accountant.
- Prepare and distribute monthly invoices to payors and assist contracted accountant in creating monthly invoices for federal and state funding per contract requirements.
- Assist contracted accountant in finalizing and processing bi-weekly payroll.
- Assist in preparation with accountant monthly financial reports for committees and Board.
- Assist with pulling and preparing financial statements for accounting firm and/or audits.
- Prepare budgets for grants and business development funding requests.
- Assist in preparing the INF2F annual budget and allocations in coordination with the contracted accountant and input from the Executive Director and Board Finance Committee.
- Manage all contracts with vendors for business operations with approval from the Executive Director.
- Assist the Executive Director in coordinating INF2F Board and Board Committee meetings including agenda, documents, meeting minutes, and logistical tasks.
- Oversee outsourced human resources functions including background checks, the employee handbook, personnel files, and onboarding and ongoing required training for new and existing employees.
- Monitor shared email boxes regularly for donations, business account communications from vendors and contractors, and invoices ensuring all matters are managed appropriately and in a timely manner.
- Ensure INF2F’s business accounts are kept up to date and accessible to appropriate staff members.
- Ensure shared drives are organized and routinely reviewed to ensure documents are easily retrievable by INF2F’s board and staff.
- Other duties as assigned.

- Outstanding interpersonal, oral, and written communication skills, including the ability to summarize and explain complex information in terms understood by a variety of audiences.
- Strong organizational skills, attention to detail, and ability to work independently by prioritizing tasks and evaluating organizational needs.
- Flexible and self-directed problem solver who takes initiative and sets priorities to see tasks completed.
- QuickBooks Online
- Microsoft Office and Teams, in particular Microsoft Excel & Outlook
- Database / CRM, Salesforce preferred.
- Zoom, Webex and other remote meeting platforms.
- Associate or bachelor’s degree, preferably in Accounting, Finance, Business or related field; commensurate experience will be considered.
- Three (3) to five (5) years of financial management experience required; fund accounting experience strongly preferred.
