Job Purpose: The Executive Assistant is a committed and extremely detailed assistant who is highly motivated, proactively engaged in managing daily activities as assigned, has a strong sense of urgency and uses the highest level of professionalism, discretion and confidentiality when dealing with all matters pertaining to the department and overall organization. Operating in a very fast-paced environment, the Executive Assistant must be able to successfully partner with all employees of Sony Music Publishing including other members of the A&R team, manage multiple activities and projects at any given time without skipping a beat, and provide an extremely high level of business and some personal support to the President, Head of U.S A&R.

What You’ll Do: (job responsibilities)

  • Demonstrate and deliver an extraordinary level of high quality and professional customer service to both internal and external stakeholders.
  • Proactively manage a very busy calendar of internal and external meetings with attention to accuracy, detail and allocation of time and resources.
  • Recognize the need to proactively reprioritize, as appropriate, if A&R initiatives change.
  • Display a strong sense of urgency and high level of responsiveness, without follow-up.
  • Handle all information with the utmost discretion, integrity and confidentiality including documents, meetings, travel, phone calls, emails, etc.
  • Coordinate all department-related events, including but not limited to A&R meetings, showcases and A&R conferences.
  • Research our roster’s contributions to upcoming artists projects.
  • Act as liaison between President, Head of U.S A&R, songwriters, agents, lawyers and management companies.
  • Responsible for coordinating a seamless travel experience, including full-service execution of domestic and international travel pertaining to flights, hotel accommodations, car service, immigration paperwork, currency, international phone plans and more.
  • Familiarize yourself with all company policies and office landscape, to fully support the executive.
  • Manage, process and track expense reports in a timely fashion according to the company’s T&E policy.
  • Perform other general administrative activities including screening calls as the first point of contact, directing inquiries and determining the proper course of action.
  • Manage some personal appointments and tasks, as needed.

Who You Are: (skills and experience required)

  • Required to work Monday - Friday, 9am-6pm, in addition to the ability to work overtime (evening and late night) when needed.
  • 5+ years’ experience providing support to executive level management in a fast-paced environment.
  • Must have a best-in-class service approach with the ability to interact in a positive and professional manner with all levels of employees and an array of external clients.
  • Ability to handle highly confidential, extremely complex and non-routine information and maintain confidentiality regarding all matters and demonstrate a high level of integrity.
  • High emotional intelligence and the ability to maintain composure in high-stress situations.
  • Strong sense of urgency and responsiveness.
  • Must be exceptionally organized and be able to work efficiently.
  • Ability to communicate clearly and concisely, both orally and in writing, with a strong eye for detail
  • Consistently demonstrates advanced problem-solving skills, exercises sound judgment and independent decision making.
  • Strong follow-up skills and the ability to independently track and follow through on action items.
  • Ability to perform multiple tasks simultaneously, while prioritizing.
  • Proficient in MS Office (Word, Excel, Outlook, and PowerPoint)
  • Must be authorized to work in the United States

The anticipated annual base salary for this position is:

$59,050.00-$84,357.00

This range does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
