Position Summary
The Compliance Specialist supports FFF Enterprises, Inc.’s enterprise-wide DEA compliance initiatives, ensuring strict adherence to federal and state-controlled substance regulations. As a member of the Compliance Team, this position serves as the primary owner of the Suspicious Order Monitoring (SOM) Program, with responsibility for evaluating, analyzing, and escalating flagged orders to protect the organization from diversion risks and regulatory violations.
This role partners closely with cross-functional teams and exercises independent judgment to make daily compliance determinations while implementing strategies developed in collaboration with Compliance Leadership. Additional responsibilities include conducting audits, preparing regulatory reports, supporting investigations, and providing expert guidance to safeguard FFF’s DEA licensure and organizational reputation.
Essential Functions and Duties
Suspicious Order Monitoring (SOM) Administration:
- Manage all aspects of the SOM process, including reviewing and analyzing flagged orders to determine release, escalation, or hold.
- Assess suspicious activity by analyzing ordering patterns, historical data, and customer profiles to identify potential diversion risks.
- Document and track significant changes in customer behavior, such as increased quantities, frequency changes, or unusual geographic trends, and escalate findings to the DEA and state agencies as required.
- Partner with Sales and Customer Service teams to ensure questionnaires, license renewals, and customer communications meet regulatory standards.
- Recommend enhancements to SOM methodologies and controls to continuously improve diversion detection and prevention.
DEA and State Compliance Reporting & Audits:
- Prepare, review, and submit DEA and state reports, including ARCOS, SORS, DEA Form 106 theft/loss reports, prescription monitoring reports, and inventory reconciliations.
- Conduct quarterly DEA compliance audits across enterprise and site levels, identifying vulnerabilities and recommending corrective actions.
- Monitor DEA and state regulatory changes, providing timely updates and operational guidance to maintain compliance readiness.
- Maintain comprehensive recordkeeping systems to meet federal and state requirements and ensure audit readiness.
- Support DEA and Board of Pharmacy inspections and audits alongside Compliance Leadership.
Customer Due Diligence & Risk Monitoring:
- Lead Know Your Customer (KYC) efforts by collecting, reviewing, and maintaining licensing and credentialing documentation for new and existing customers.
- Conduct ongoing risk assessments of customer accounts, identifying unusual or high-risk activities for escalation.
- Partner with internal teams to address potential compliance concerns and ensure appropriate corrective actions are taken.
- Collaborate with project teams to define compliance scope, set priorities, and establish measurable success criteria.
Investigations & Regulatory Engagement:
- Support investigations into suspected diversion, theft, or other compliance breaches, leading investigative actions as assigned.
- Prepare detailed investigative summaries and regulatory submissions in alignment with DEA requirements.
- Assist with communications and interactions with DEA Field Offices, Boards of Pharmacy, and other regulatory agencies as directed by Compliance Leadership.
Policies, Training, & Compliance Culture:
- Maintain and update compliance policies, SOPs, and procedures to reflect federal and state regulatory changes.
- Deliver training to internal teams to ensure understanding of controlled substance handling requirements and reporting obligations.
- Promote a culture of accountability and ethical behavior by modeling integrity and supporting cross-departmental collaboration.
- Provide operational feedback to Compliance Leadership to inform long-term strategic compliance planning.
