About The Role
The HopeStar Foundation is focused on the healthy development of children and families across the Carolinas and is seeking an energetic, organized, dedicated problem-solver to join our team.
The Executive Program Manager is responsible for numerous activities, from daily administrative and grants management tasks to event coordination and key communications support. In this dynamic environment, the Executive Program Manager will be relied upon to deliver excellent planning and foresight, manage competing priorities, anticipate the President’s needs, and exercise sound judgment when under pressure.
The foundation office hours are 9:00 am – 4:00 pm, Monday through Friday, with occasional work outside of office hours. This position is hybrid, with a combination of time spent working from the office and working remotely.

Grant Management
This is a full-time, exempt position with a salary range of $55,000-$65,000, commensurate with background and experience. Employee benefits include generous paid time off, eleven company holidays, and paid parking. The office is within walking distance of a light rail stop and bus station and is a dog-friendly workplace.

Responsibilities
Grant Management
- Manage grant agreement timelines, budgets, and evaluation metrics to ensure timely and accurate budget and reporting
- Maintain confidential records
- Track grant proposals and reporting requirements
- Process grant payments
- Generate annual grants budget and faciliate budget meetings
- Design and publish the foundation's annual Giving Report
- Provide essential clerical support, including managing communications, organizing schedules, and maintaining records
- Make travel arrangements
- Coordinate virtual and in person meetings; prepare briefings and distribute minutes
- Maintain office infrastructure and supplies; monitor vendor contracts
- Represent the President and Foundation in meetings as needed.
- Oversee financial planning and fiscal responsibility
- Provide accounting data entry and collaborate with the Foundation’s accountant as needed.
- Maintain database of contacts
- Support planning of Board meetings, thought-leadership events, and grantee/funder collaborations, including Trustee and Advisory Board communications; serve as secretary during Board meetings
- Serve as a brand ambassador in all aspects of the role.
- Maintain the official website with up-to-date information
- Bachelor’s degree with 5 years of relevant experience
- Proficient in Microsoft Office and Zoom, QuickBooks Online knowledge is a plus
- Strong ability to multi-task and manage deadlines
- Exceptional organization and attention to detail
- Excellent communication skills and sound judgment
- Self-starter, works well with a small team as well as independently
- Ability to maintain discretion and confidentiality
- Alignment with Foundation's mission
- Occasional travel required
