About the role:
As a Warehouse Operations Coordinator, you will support the daily operations of our warehouse by coordinating inbound shipments, maintaining accurate inventory records, and managing logistics documentation. You'll play a key role in timely data entry, facilitating communication with vendors and subcontractors, and assisting warehouse staff with both administrative and operational tasks. Success in this role requires strong organizational skills, a sharp attention to detail, and the ability to thrive in a fast-paced environment.
What you’ll do:
- Accurately enter inbound shipment information into the internal tracking system within 24 hours to ensure timely inventory visibility and reduce operational delays.
- Maintain and refine the Excel-based receiving log, validating shipping documentation and proactively identifying discrepancies to support accurate inventory reconciliation.
- Independently manage inbound shipment scheduling using a shared Outlook calendar, allocating resources and coordinating with internal teams and subcontractors to prevent delivery disruptions.
- Generate and distribute pick tickets and product tags to warehouse staff to support efficient and accurate order fulfillment.
- Lead and support the receiving team by setting clear expectations, monitoring task completion, and driving continuous improvement in daily operations.
- Identify and resolve shipment discrepancies, damages, or missing items; document issues and initiate claims or follow-up to minimize financial impact and maintain vendor accountability.
- Manage shipment-related communications, including oversight of the receiving mailbox, ensuring clear, timely coordination with vendors, subcontractors, and internal stakeholders.
- Digitize and validate warehouse asset records by organizing handwritten logs and maintaining accurate digital inventory data for operational reporting and audit readiness.
- Oversee key administrative logistics such as truck scheduling, documentation management, and provide backup support during month-end closing to ensure continuity in financial processes.
- Support warehouse security and safety compliance by maintaining a log of personnel access and contributing to ongoing process improvements that enhance operational efficiency.
Who you are:
- You have 2+ years of experience in a warehouse coordinator, office coordinator, or administrative support role, ideally with exposure to inventory or order management systems.
- You have a high school diploma or equivalent; experience in the furniture industry, especially office furniture, is a plus.
- You are highly organized and detail-oriented, with strong time management skills and the ability to handle multiple tasks in a fast-paced, interruption-heavy environment.
- You are proficient in Microsoft Excel, including formulas and pivot tables, and are comfortable learning and navigating new systems; familiarity with inventory tracking or ERP software (Snaptracker is a plus).
- You communicate clearly and professionally in both written and verbal formats, and you collaborate effectively with vendors, subcontractors, and internal teams.
- You bring analytical and problem-solving skills, especially when identifying and resolving discrepancies in inventory records or documentation.
- You take initiative, adapt quickly to changing priorities or processes, and work independently while contributing positively to team operations.
- You demonstrate a strong sense of ownership and accountability, consistently following through on responsibilities and ensuring accuracy in your work.
- You are dependable and punctual, with a commitment to supporting daily operations and team goals.
- You are comfortable with occasional physical tasks, such as lifting up to 50 lbs, staging materials, unloading deliveries, and assisting with on-site needs.
Work Environment:
This full-time role is based on-site at our warehouse in Aurora, CO, and requires in-person presence Monday through Friday. Standard hours are 7:00 am to 4:00 pm, with some flexibility to start earlier or later depending on business needs and incoming shipments.
Physical Requirements:
This role involves occasional physical activity, including lifting, carrying, and moving materials weighing up to 50 pounds or more. You’ll spend much of your day standing and walking as part of warehouse operations, and you’ll need the flexibility to bend, stoop, crouch, or kneel to handle items stored on lower shelves or in tight spaces. Good hand-eye coordination is important to safely and efficiently perform these tasks.
Compensation:
$56,500 - $70,000 per year
