Position: Manager, Grants & Data

Reports to: Director, Development

Department: Development

Pay Rate: $85,000- $95,000 yr.

Reporting to the Director, Development, the Manager, Grants & Data is responsible for overseeing grants management (research, writing, monitoring, and reporting) and for managing data systems that support the Development Department. This role plays a critical part in agency fundraising efforts, ensuring the integrity of donors and grant data through Raiser’s Edge, and strengthening the organization’s culture of philanthropy.

As a key liaison between Development and Program teams, this role supports the stabilization and growth of program funding by developing compelling proposals and reports aligned with agency strategies and budgets. The Manager also works closely with Finance and Program teams to ensure grant compliance, track utilization of funds, and demonstrate program impact.

Essential Functions / Responsibilities

Database & Data Management

  • Support the fundraising cycle, from prospect research, to cultivation, to generating grant proposals, to stewardship.
  • Ensure data integrity across internal financial systems and development department’s database for internal and external reporting.
  • Data management, including data entry, data clean-up and data maintenance, of individual and institutional constituents in Raiser’s Edge database.
  • Develop, update and regulate policies and procedures for database access, use and reporting.

Grants Management

  • Collaborate with program directors and other staff members to develop compelling grant proposals that align with the organization's strategic priorities and funding opportunities.
  • Lead content generation as aligned with program expertise, engaged program leadership on content development and prepare relevant program-specific supporting documentation as needed.
  • Gather and track internal data and compile required documentation for grants reporting, closeouts, and renewal applications on a timely basis.
  • In partnership with executive leadership, support the full lifecycle of a defined portfolio of grants and contracts, from initial review and negotiation to closeout. This involves reviewing contract terms and conditions, drafting or editing program contract components, and ensuring that program team members at all levels are aware of and accountable to management for their obligations in accordance with the agreements.
  • Create and monitor needed workflows to ensure accountability to program grants and contracts as assigned.
  • Support program leadership to ensure that funding requirements, regulations, and reporting deadlines are clear and met. Partner with the Learning & Evaluation team to obtain relevant data, analysis, and reporting to meet grant and contract requirements.
  • Work closely with the finance department to track grant and contract expenditures for programs and ensure that funds are used in accordance with grantor guidelines. Ensure program staff are well-versed in and equipped to support grant and contract expenditure processes. Identify and address any financial issues or discrepancies related to grants and contracts with agency leadership.
  • Maintain files for grants and contracts.
  • Research, gather, compose, and update background and boilerplate information as needed for incorporation into new grant proposals and the agency’s Grant Language Manual.

Qualifications

POSITION QUALIFICATION REQUIREMENTS

Education: BA/BS degree in accounting, finance, business, nonprofit administration, or related field preferred OR equivalent work experience.

Experience: Experience in grant writing, contract management, or related roles within the nonprofit sector, and with CRM systems, Raiser’s Edge preferred. Previous working experience with grants in nonprofit/academic environments or government contracts preferred.

Skills And Abilities

  • Strong organizational skills and ability to prioritize, be proactive, work independently and as a team member, research and resolve problems, and follow through on assignments with minimal direction.
  • Demonstrated ability to produce work with a high level of detail and accuracy.
  • Ability to manage multiple concurrent grants with various payment methods, compliance and reporting requirements and deadlines.
  • Understand general fund accounting and reporting principles.
  • Excellent communication skills with the ability to craft clear, concise, and persuasive grant proposals and reports, and communicate effectively with all organizational levels; both verbally and in writing.
  • Deep understanding – and ability to articulate – the role equity, inclusion, and diversity plays in our work.

Software: Proficiency in Microsoft Office applications: Outlook, Word, Excel, and Internet Explorer. Experience with a donor CRM system, Raisers Edge preferred. Social Media fluency is an asset.
