POSITION DESCRIPTION 

TITLE:  Coordinator, Clinical and Scientific Affairs 

 

REPORTS TO: Manager, Scientific Affairs 

 

SUMMARY: Provides administrative, operational and technical support for programs across the research division of AGA’s clinical and scientific affairs department including research awards, recognition prizes, scientific meetings, and educational programs. 


Position Overview: 

AGA’s clinical and scientific affairs department is responsible for a diverse portfolio of programs including research awards, recognition prizes, scientific publications, clinical guidance and studies, and a virtual center focused on the gut microbiome. The coordinator will provide administrative support for many of these programs while monitoring and evaluating progress on assigned programs throughout the research division.

Specific Responsibilities: 

1.      Provide administrative support across the clinical and scientific affairs department such as scheduling, contract routing, and speaker invitations. 

2.      In tandem with supervisor, manage notification, contracting, invoicing, and tracking activities related to AGA’s research awards and recognition prizes. 

3.      Gain expertise with various software platforms used by the department. Current systems include those for application and nomination management (ProposalCentral and OpenWater), project management (Smartsheet), contract management (ConvergePoint), mobile event platform for meetings and conferences (Engagefully), surveys (SurveyMonkey), and work management (WorkZone). 

4.      Support assessment of programmatic and financial goals for various programs in tandem with supervisor, including regularly updating datasets and tracking documents. 

5.      Monitor program schedules and milestones to ensure compliance with requirements on sponsored programs and standard procedures on recurring annual programs. 

6.      Support development and maintenance of standard operating procedures across the department. 

7.      Be a reliable team member within the organization and facilitate productive working relationships with other staff, vendors/contractors and association members. 

8.      Fulfill other duties as assigned commensurate with the scope and responsibility of this position. 

Qualifications: 

1.      Bachelor’s degree, or equivalent combination of education and experience. 

2.      Minimum 1 year of work experience in program or administrative operations. Equivalent education will be considered. 

3.      Proficiency with Microsoft Office and videoconferencing systems such as Zoom and Microsoft Teams. 

4.      Tech savvy, with ability to quickly learn and implement new software. 

5.      Detail oriented and organized with an ability to manage multiple projects simultaneously. 

6.      Strong interpersonal skills, collaborative and team-oriented. 

7.      Excellent oral and written communication skills. 

8.      Interest in health care, medicine, and/or research, particularly related to gastroenterology. Familiarity with medical terminology and health care is helpful.
