Position is based at 5208 W Village Parkway Ste 3/4, Rogers, AR 72758. Position requires availability Monday through Friday 8 AM to 5 PM with additional hours as needed.

Job Title: WACO Closing Processor 3

The WACO Closing Processor 3 plays a pivotal role as the Subject Matter Expert (SME) for the processing team in conjunction with the Processing Supervisor. This role is crucial in understanding and satisfying complex title requirements and supporting the processing team with a broad base of resources. The incumbent will provide expert guidance and knowledge on complex files and processing guidelines to other processors, demonstrating WACO's commitment to quality customer service standards.

What You Will Do at Arvest: (Other duties may be assigned.)


  • Maintain an active complex file pipeline and serve as an SME to other associates as they process files for closing.
  • Read and interpret documents such as real estate contracts, title commitments, and lender instructions, ensuring compliance with all title insurance underwriting guidelines, lender requirements, real estate contracts and regulatory guidelines.
  • Review and analyze the more complex title files, such as those involving multiple parcels, business or multiple entity purchases, trust and estate files, bankruptcy or foreclosure files, and commercial and title requirements with more complicated clearing requirements.
  • Demonstrate the ability and willingness to work with customers courteously and professionally while protecting the interests of the company, the lender(s), borrowers and sellers and vendors who are part of the transaction.
  • Proactively accept and make multiple calls daily (inbound and outbound) to provide exceptional customer service to internal and external customers and accept escalated customer calls to help resolve problems.
  • Learn the fundamental skills of sales and networking to increase customer relationships.
  • Fulfill lender/title requirements and the contract terms by ordering termite reports, home warranties, septic inspections, payoffs, and other miscellaneous items from third-party vendors.
  • Work closely with lenders to balance the final closing disclosure to all parties' satisfaction and ensure it complies with all lender requirements, title requirements, and real estate contract terms.
  • Establish and maintain good working relationships with other WACO associates and serve as a resource to guide them through files that have more complex title requirements or issues.
  • Assist the supervisor with duties as requested regarding onboarding, mentoring, training, and development of new associates.
  • Work closely with the supervisor and manager to resolve problems, identify process changes, develop training materials for processor meetings, and stay current with industry issues and regulations.
  • Conduct and assist in training of associates as needed.
  • Perform quality assurance measures such as ALTA (American Land Title Association) review to double-check numbers to avoid closing losses. This process provides coaching opportunities to help train other associates. Assist in reviewing documents for accuracy relative to the closing transaction so that the final policy can be issued immediately.
  • Follow up with customers to obtain any missing documents needed to avoid missing closing deadlines and to obtain required documents after closing to ensure a clear title policy is issued.
  • Schedule requested appointments for buyers, sellers, real estate agents and lenders, and follow up with all parties if there is a delay or need to reschedule. Assist all parties to avoid post-closing issues.
  • Prepare closing documents, balance and disburse files and post-close and ship the documents if necessary.
  • Foster a teamwork environment with all assigned branches to ensure a positive customer experience.
  • Understand and comply with bank policy, laws, regulations, and the bank's BSA/AML Program, as applicable to your job duties. This includes but is not limited to completing compliance training and adhering to internal procedures and controls; reporting any known violations of compliance policy, laws, or regulations; and reporting any suspicious customer and/or account activity.

  • High School Diploma or General Education Degree (GED) required.
  • 3 years of Title Closing Processor experience required.
  • Microsoft Office (Word, Excel) required.
  • Licensed Notary Public or ability to obtain within 90 days required.
  • Experience reviewing or validating customer documents preferred.
  • Accounting experience preferred.
  • Associate's Degree Preferred.
  • Relevant military experience is considered for veterans and transitioning service members.
