The Quality Assurance Administrator is responsible for supporting the daily operations of the Quality Assurance (QA) department to ensure compliance with food safety, regulatory, and company standards. This role focuses on documentation control, auditing, recordkeeping, and communication across departments to maintain product quality and safety throughout the food and beverage manufacturing process.
Schedule
- Monday- Friday, 8:00 am-4:30 pm
- Maintain, organize, and update all QA and Food Safety documentation, including SOPs, batch records, HACCP plans, and regulatory forms.
- Verify that ingredients and packaging supplies are purchased only from approved suppliers who have met the company required standards.
- Manage supplier documentation and approval process, including COAs, specifications, and certifications.
- Work in unison with R&D, Quality and Procurement on developing and finalizing raw material specifications.
- Monitor and log non-conformances, deviations, and corrective/preventive actions (CAPA).
- Work with Production, R&D and Quality to develop and maintain finish product specifications on all new and existing formulations.
- Continuous monitoring and maintenance of the supplier monitoring program.
- Assist with internal audits, third-party audits, and regulatory inspections (e.g., FDA, SQF, GFSI, Organic, Kosher).
- Communicate effectively with Production, Procurement, R&D, and other teams to resolve quality issues.
- Provide administrative support to the Quality Manager for special projects, policy updates, and continuous improvement initiatives.
- Ability to work in both office and manufacturing environments.
- May require assistance in R&D special projects or documentation management.
- Willingness to work flexible hours during audits, production schedules, or special projects.
Education
- Food Science, Microbiology or equivalent or related field
- Lean or Six Sigma certification preferred
- HACCP Certified (required – but can be obtained on the job)
- 1–3 years of experience in Quality Assurance, preferably in the food and beverage industry.
- Experience with document control systems and QA databases.
- SQF Practitioner certificate (can be obtained on the job.
- High proficiency in MS Office Suite (Excel, Outlook, Internet applications)
- Experience with logistics software (e.g., SAP, Oracle, TMS systems)
- Strong knowledge of food safety regulations
- Knowledge of HACCP, GMPs, allergen management, and food safety regulations.
- Excellent professional oral, written, and presentation communication skills required
- Advanced computer skills and strong written and oral communication skills required
- Strong attention to detail and organizational skills.
- Ability to multitask and meet deadlines in a fast-paced environment.
- Strong problem-solving skills and ability to support root cause analysis.
- Will be required to work in an environment with temperatures below 40°F, as necessary.
- Requires sitting for extended periods and time in front of a computer screen for extended periods.
- Occasional lifting of equipment that may weigh up to 30 lbs.
