Position Overview

Job Skills / Requirements

We are seeking a highly organized, proactive, and professional Executive Assistant to support our Chief Executive Officer. This individual will serve as a trusted partner, providing high-level administrative and operational support to enable the CEO to focus on strategic priorities. The Executive Assistant will manage calendars, coordinate key initiatives, prepare executive-level communications, and act as a liaison between the CEO and internal/external stakeholders.

Key Responsibilities

Executive Support

  • Manage the CEO’s daily calendar, including scheduling meetings, appointments, and travel arrangements.
  • Proactively anticipate needs and ensure the CEO is well-prepared for all meetings, presentations, and events.
  • Draft, review, and manage correspondence, reports, and presentations on behalf of the CEO.

Communication & Coordination

  • Serve as a professional point of contact between the CEO, leadership team, clients, and other stakeholders.
  • Screen and prioritize incoming communications (emails, calls, requests), ensuring timely and appropriate responses.
  • Coordinate executive meetings, including agenda development, logistics, minutes, and follow-up actions.

Project & Operational Support

  • Support special projects and initiatives as assigned by the CEO.
  • Track and monitor progress on key deliverables, ensuring deadlines are met.
  • Conduct research and prepare briefing materials to support executive decision-making.

Confidentiality & Professionalism

  • Handle sensitive information with the utmost confidentiality and discretion.
  • Represent the CEO with professionalism and diplomacy at all times.

Qualifications

Education & Experience

  • Bachelor’s degree preferred, or equivalent combination of education and experience.
  • Minimum of 5 years of experience as an Executive Assistant, ideally supporting C-level executives.
  • Experience in a fast-paced, high-growth, or complex organization is highly desirable.

Skills & Competencies

  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, Zoom, etc.).
  • Ability to manage multiple priorities under tight deadlines.
  • Strong problem-solving skills with a proactive, resourceful mindset.
  • High level of discretion, judgment, and emotional intelligence.
