Key Responsibilities
- Oversee daily office operations to ensure a smooth and efficient workplace
- Lead logistics for office openings, relocations, and expansions, including vendor coordination, lease management, and IT/telecom setup
- Collaborate with the Vice President on business insurance renewals and serve as a primary contact for brokers and providers
- Develop and maintain office policies, procedures, and compliance standards
- Partner with executives to support company-wide initiatives and administrative needs
- Manage contracts, vendor agreements, and office supply procurement
- Oversee office facilities, security access, and space planning
- Act as a liaison between departments, vendors, and external partners
- Ensure compliance with company policies and legal requirements
- Perform other duties as assigned
- 5+ years of office administration experience, including 2+ years in a senior or lead role
- Japanese language proficiency (spoken, read, and written) is required
- Proven track record in opening and managing office locations, including logistics and vendor coordination
- Strong knowledge of business insurance policies, compliance, and claims handling
- Excellent organizational, communication, and problem-solving skills
- Proficient in Microsoft Office Suite; experience with office management tools preferred
- Ability to handle confidential information with discretion
- Strong interpersonal skills and experience working directly with executives
