Job Summary:

Emerald Care Center Tulsa is dedicated to providing compassionate and high-quality care to our residents. Our team is committed to fostering a supportive environment for both our residents and our staff. We are seeking an experienced HR Director to lead our human resources department and contribute to our mission of delivering exceptional care. The HR Director will oversee all human resources functions within the facility, ensuring the implementation of HR policies and practices that align with our organizational goals and compliance requirements. This role will be pivotal in driving staff engagement, recruitment, retention, and overall workforce development.

Work Environment:

An office setting in a clinical environment.

Responsibilities:

Full-Cycle Recruiting:

  • Post ads on the applicant tracking system and request sponsorship as applicable, attend job fairs, visit nursing and C.N.A. schools.
  • Verify all licenses and certifications are valid, schedule new hire orientations.


Onboarding:

  • Complete onboarding documents through Human Resources Information System, follow-up with applicants as necessary.
  • Reference checks, complete all pre-employment background checks.


New Hire Orientation:

  • Organize orientation to welcome new employees.
  • Ensure all new hires are notified of new hire orientation and notify all managers of their date/time to present.
  • Ensure all new hire paperwork is completed and submitted to payroll timely.
  • Create and maintain employee personnel files, medical records file, benefits, and I-9 files.


Labor Meeting:

  • Lead weekly labor meetings to discuss open positions, prospective new hires, agency status, change in employment status, overtime hours monitoring, recruitment efforts, retention efforts, staff development and training, and turnover trends.
  • Work closely with administrator, director of nursing, and staffing coordinator to manage and fill open positions.


Payroll:

  • Manage, review, prepare and submit accurate and complete bi-weekly payroll report timely for the facility.
  • Respond to garnishment, tax levy, and child supports request promptly.
  • Respond to unemployment claims request timely.


Worker’s Compensation:

  • Ensure timely submission of injuries to WC management company.
  • Organize and lead the monthly safety committee.


FMLA and Other Leave of Absences:

  • Provide timely notices for employees who are eligible for FMLA.
  • Educate managers on their responsibilities with FMLA as needed.
  • Manage leave of absence request in a fair and consistent manner. This includes Jury Duty, Military Leave, Maternity Leave, Personal Leave.


Turnover and Retention:

  • Complete exit interviews with all staff that leave the facility.
  • Complete stay interviews with staff who have been employed for over a year with the facility.
  • Review the turnover report each month and establish a meeting to discuss turnover trends with department managers.
  • Provide support and oversight of the employee recognition committee.


Staff Development and In-services:

  • Monitors employee training schedule to ensure all employees complete assigned monthly in-services training.
  • Report any concerns to direct supervisor or staff development trainer.


Employee Relation/Disciplinary Action:

  • Assist managers with disciplinary process (including interviewing any witnesses and writing disciplinary reports) in accordance with the employee handbook.
  • Communicate with Regional Director of Human Resources prior to terminating employment, as needed for consultation.
  • Ensure employees receive information about employee grievance process and contact information.
  • Offer training to managers on the disciplinary process in accordance with the employee handbook.


Benefits Coordination:

  • Explain benefits for full and part-time employees, train staff in the benefits administration process and provide contact information.
  • Offer coverage timely to employees to mitigate any Affordable Care Act penalties.
  • Ensure that any status changes in employment are summitted biweekly to benefits administration.


Resident Rights:

  • Report all allegations of resident abuse to the Administrator and assist in the investigation of such as requested.


Qualifications:

  • Associate or bachelor’s Degree preferred or equivalent on-going training in the role.
  • Two or more years of experience in human resources or recruiting, training and development experience required.
  • Prior long-term or healthcare experience preferred.
  • Demonstrate dependability, cooperation, and interest in the care of the elderly.
  • Display leadership qualities, good communication skills, and a desire to continuously learn.
  • Possess the ability to communicate effectively and deal tactfully with personnel. Residents, families, visitors, government agencies, and the public.


Skills:

  • Strong knowledge of HR laws, regulations, and best practices.
  • Excellent communication, interpersonal, and negotiation skills.
  • Proven ability to handle sensitive and confidential information.
  • Demonstrated leadership and team management capabilities.
  • Proficiency in HRIS and Microsoft Office Suite.
  • Ability to think strategically while managing day-to-day HR operations.
