Position Overview

The Special Projects Assistant provides administrative and office support to leadership and staff at our DHP Satellite Office. This role is essential to ensuring smooth daily operations, excellent customer service, and timely support of team initiatives.

This is a hands-on administrative assistant position that involves greeting visitors, managing phone calls and mail, scheduling meetings, preparing reports and presentations, ordering supplies, and assisting with special events and projects as needed.

Key Responsibilities

  • Serve as the first point of contact for visitors, members, and phone inquiries.
  • Provide administrative support including scheduling, calendar management, mail handling, and document preparation.
  • Assist with meeting logistics: scheduling, catering, materials, and minutes.
  • Prepare check requests, process invoices, and assist with travel arrangements and expense reports.
  • Order office and breakroom supplies and ensure office spaces remain organized.
  • Assist managers with employee timekeeping and coordinate basic HR/administrative tasks.
  • Support special events, office activities, and other projects as assigned.
  • Maintain confidentiality and professionalism in all interactions.


Qualifications

  • High School Diploma or GED required.
  • 3–5 years of administrative support or related experience preferred.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational skills and ability to prioritize tasks.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
