The Department of Workforce Services is looking to hire two Administrative Assistants to work in a fast-paced environment and provide administrative support to the Eligibility Division and the Workforce Development Division.

The mission of Workforce Services is to strengthen Utah’s communities by connecting the workforce to new opportunities and providing services to individuals and families in need. Today, more than 2,200 Workforce Services employees assist individuals in preparing for and finding jobs, meeting workforce needs of Utah businesses, administering temporary assistance, and providing economic data and analysis. Through a collaborative approach, the department has served millions of Utahns and has become a leader on several statewide initiatives. These include intergenerational poverty, homelessness, affordable housing, supporting refugees, helping rural communities, serving veterans and individuals with disabilities, and getting Utahns trained and back to work.
Principal Duties
The Administrative Assistant Performs The Following Tasks
- Maintains calendars, schedules and coordinates executive appointments and travel arrangements.
- Writes or drafts correspondence, meeting notes, reports, presentations, and other written materials.
- Coordinates and schedules meetings or conference rooms and arranges for speakers, meals and equipment for events.
- Coordinates and provides support for boards or commissions.
- Communicates well with team members, internal staff and other stakeholders and partners.
- Meets deadlines and keeps others on track to meet deadlines.
- Participates on various committees or special task forces to coordinate agency or division activities and facilitate agency goals and initiatives.
The model applicant for this position is someone who:
- Has previous administrative assistant experience.
- Has experience with government programs.
- Is self-motivated and can work independently.
- Has attention to detail.
- Provides good customer service.
- Is well-organized, tech-savvy, service-oriented, and works well under pressure.
- Can frequently and proactively find multiple options as solutions to problems that arise in day-to-day activities.
- Has great critical thinking skills and is adaptable to change.
- Has excellent time management skills and the ability to multitask and prioritize work.
- Has a willingness to learn.
