Role Overview:
The Payroll Administrator will be responsible for processing accurate, timely payroll for employees across multiple entities and states within the Canopy Aerospace & Defense holding comapny. This role ensures compliance with federal, state, and local wage and hour laws, manages complex multi-entity payroll structures, and partners with HR and Finance to support reporting, audits, and continuous process improvement.

Base Location: Ontario, CA onsite
Travel: Minimal as needed for site support

Role Overview:
The Payroll Administrator will be responsible for processing accurate, timely payroll for employees across multiple entities and states within the Canopy Aerospace & Defense holding comapny. This role ensures compliance with federal, state, and local wage and hour laws, manages complex multi-entity payroll structures, and partners with HR and Finance to support reporting, audits, and continuous process improvement.
Key Responsibilities
- Administer end-to-end payroll processing for multiple entities across several U.S. states
- Ensure compliance with federal, state, and local regulations (e.g., wage & hour, garnishments, PTO accrual rules, overtime, and reporting requirements)
- Maintain payroll records, reconciliations, and adjustments in alignment with company policy and audit standards
- Partner with HR and Finance to validate payroll data, including new hires, terminations, benefits, bonuses, and equity-related transactions
- Generate and distribute payroll-related reports for management, Finance, and external partners
- Stay current on state-specific payroll laws and implement necessary changes
- Support system upgrades, implementations, and integrations across HRIS and payroll platforms
- Respond promptly to employee inquiries regarding pay, taxes, and deductions
- Take on adhoc projects as needed
- Minimum 5 years’ payroll experience with multi-state, multi-entity organizations
- Strong knowledge of federal and state wage and hour laws, payroll tax, and compliance requirements
- Proficiency with HRIS/payroll systems (UKG, Paychex, iSolved, Rippling)
- Excellent analytical and problem-solving skills with high attention to detail
- Strong communication skills and ability to work cross-functionally with HR, Finance, and leadership
- Demonstrated ability to handle sensitive and confidential information with integrity
- Experience in the aerospace, defense, or government contracting industries
- Knowledge of ITAR, DCAA, or other federal compliance frameworks
- Experience supporting payroll system implementations in a holding company environment
- FPC or CPP certification.
- Willingness to work when needed to meet critical deadlines
- Ability to use a computer and most common software programs to complete assignments
- Ability to communicate with individuals and groups in person, by phone and online
