Recruiting Coordinator (Hybrid - 3 days onsite per week)
Overview
As the Recruiting Coordinator, you are responsible for delivering an exceptional experience for all candidates and interviewers throughout the entire interview process. You will manage the interview scheduling process and be responsible for communicating all logistics to candidates and hiring teams. As the Recruiting Coordinator, you will collaborate with team members on process improvement based on candidate feedback. You will maintain excellent organizational skills, collaborate with various departments, and shift gears at a moment’s notice for urgent requests.

As the Recruiting Coordinator, you will collaborate with team members on process improvement based on candidate feedback. The Impact You'll Make
- Manage, schedule, and coordinate interviews for all Weedmaps candidates, ensuring alignment with business priorities.
- Collect candidate availability, send interview confirmations, and handle any scheduling changes or logistics adjustments.
- Communicate interview details to candidates and internal teams; ensure interview rooms and video conferencing setups are prepared and functional.
- Provide an exceptional candidate experience, including greeting onsite visitors and conducting informative office tours.
- Maintain accurate candidate data and job postings in Greenhouse (ATS), ensuring candidates are moved through stages appropriately.
- Partner with Recruiters, Hiring Managers, and cross-functional teams to support a smooth and efficient hiring process.
- Attend meetings with Senior Recruiters and Managers to ensure consistent communication and feedback loops.
- Maintain interviewer training materials and documentation to support interviewer readiness and process consistency.
- Identify and implement process improvements to enhance scheduling efficiency and the overall candidate experience.
- Analyze feedback and deliver actionable insights to continually refine and improve the interview process.
- 1+ years of experience in a Recruiting Coordinator, Talent Acquisition, or HR support role.
- Bachelor’s degree or equivalent combination of education and experience.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy in scheduling and data management.
- Demonstrated ability to handle confidential information with professionalism and discretion.
- Proficiency with Google Workspace (Docs, Sheets, Calendar) or Microsoft Office Suite.
- A proactive and collaborative mindset with strong interpersonal skills.
- Previous internship or 6+ months of experience in recruiting coordination, HR, or administrative support.
- Experience using an Applicant Tracking System (ATS), ideally Greenhouse.
- Familiarity with video conferencing tools (e.g., Zoom, Google Meet) and calendar scheduling software.
- Interest in pursuing a career in Talent Acquisition or Human Resources.
- Demonstrated ability to improve processes and contribute to team efficiency.
