Primary Job Objective/Job Summary
The Events & Promotions Coordinator will lead the planning and execution of SC Thrive’s Annual Training event, a high-impact, multi-day conference that brings together hundreds of professionals from across South Carolina to engage in professional development, networking, and collaborative learning. The Events & Promotions Coordinator will be the driving force behind its success—ensuring every detail is executed with precision and every attendee leaves inspired. The Events & Promotions Coordinator will also serve as a critical member of the Development team, working with the CDO to plan and execute additional event fundraising strategies that raise revenue for SC Thrive and build awareness for our mission while supporting with the communications efforts of SC Thrive.
70% Annual Training Leadership:
Qualifications and Experience Required:
The job will usually be performed as a mix of office duties and travel will be required. Includes work outside standard business hours, including nights, overnights and weekends for special projects and events. Occasionally travels and works in outdoor weather conditions.
Must be able to move about frequently 70% of the time frequently standing, bending, squatting, and sitting. The individual in this job must occasionally move about inside an office to access filing cabinets, office equipment, etc. Constantly operates a computer and other office productivity equipment, such as calculators, printers, etc. Consistently communicates information and ideas to others. Must be able to exchange accurate information in a manner others understand in these situations. Frequently observes details at close range (within a few feet of the observer). Frequently moves boxes up to 20 pounds across the office and at outside events for various purposes.

70% Annual Training Leadership:
- Serve as the primary project manager for SC Thrive’s Annual Training conference, overseeing all phases from conception to completion.
- Develop and manage event timelines, budgets, and logistics plans.
- Coordinate venue selection, vendor contracts, catering, A/V, signage, and room setups.
- Collaborate with internal teams to curate session content, speaker lineups, and training materials.
- Manage event registration, attendee communications, and on-site support.
- Lead post-event evaluations and reporting to measure impact and identify improvements.
- Support CDO in planning and executing additional fundraisers throughout the year.
- Work with CDO to develop materials such as collateral pieces, sponsorship levels, event scripts, etc.
- Partner with Marketing Specialist to support with the design of event-related material—both printed and electronic—ensuring that they adhere to brand standards.
- Collaborate with development and marketing colleagues on the messaging, design, and execution of social and digital event promotion strategies.
- Design electronic forms and surveys for collecting information pre- and post-event
- Create and manage project plans using Monday.com.
- Execute additional event-related tactics as needed.

- Collaborate with development colleagues to write relevant copy related to the promotion of SC Thrive.
- Support CDO with the writing and distribution of press releases and other communications strategies.
- Support team efforts related to Annual Training and fundraising events by providing event details, visuals, and promotional copy where needed.
- Assist with other SC Thrive events throughout the year, including workshops, outreach campaigns, and community engagement initiatives.
- Maintain inventory of event supplies and promotional materials.
- Other duties as assigned.
Qualifications and Experience Required:
- Bachelor’s degree in Event Management, Communications, or related field, or equivalent experience.
- 2+ years of experience coordinating large-scale events or conferences.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills and vendor negotiation abilities.
- Proficiency in event software (e.g., Eventbrite, Cvent) and Microsoft Office Suite.
- Ability to travel and work flexible hours during peak event periods, including some nights and weekends
- Passion for mission-driven work and community impact.
- Creative problem-solver with a calm demeanor under pressure.
- Experience with non-profit or training-focused events is a plus.
- Pre-employment screens are required per standard policy to include background and drug screening.
- Ability and willingness to work flexible hours, including some nights and weekends, as needed.
- Must have reliable transportation or be able to secure transportation for travel as needed.
- Must have a valid SC driver’s license, minimum state auto insurance, and the ability to travel to multiple worksites in SC.
- Must maintain an acceptable driving record in accordance with SC Thrive policy.
- Must have consistent, secure, high-speed internet access that is at least 25 Mbps download and 4 Mbps upload and meets SC Thrive’s standards.
