Job Summary

The Scheduler will be responsible for creating and maintaining staff schedules, ensuring proper coverage for all shifts, and communicating scheduling changes to employees in a timely manner. In addition, they will schedule appointments and arrange transportation for elders in the Green Houses and on-call staffing responsibilities.

    • Maintain a thorough working knowledge of Community policies and procedures.

    • Communicate with Elders in a respectful manner.
    • Respond to Elder family/visitor requests in a timely and appropriate manner.
    • Make independent decisions when circumstances warrant such action.
    • Provide effective and courteous service to all Elders, guests and co-workers.
  • Essential Duties and Responsibilities
    • Create and maintain staff schedules for nursing, caregivers, and other support staff based on facility needs and employee availability
    • Ensure proper coverage for all shifts, including weekends and holidays
    • Monitor and adjust schedules as needed to accommodate changes in patient needs, staff availability, or unexpected absences
    • Communicate scheduling changes to staff members promptly and efficiently
    • Coordinate with managers and supervisors to always ensure adequate staffing levels
    • Collaborate with HR department to onboard new hires and train them on scheduling procedures
    • Monitor overtime hours and adjust to minimize costs while maintaining appropriate staffing levels
    • Maintain accurate records of employee schedules, time off requests, and relevant communication
    • Ensure compliance with labor laws and regulations related to scheduling and overtime
  • Other Duties/Responsibilities
    • Schedule appointments and transportation for Elders
    • Monitoring Nursing Supplies and Maintaining the Orbits Supply System, including inventory maintenance.
    • On-Call staffing responsibilities including after-hours staffing, schedule maintenance, and filling shifts
    • Work in the Green Houses as needed.
  • Physical Demands/Working Conditions
    • Able to sit, stand, bend, lift, push, pull, stoop, walk, and move frequently during working hours.
    • Able to lift 40 lbs. floor to waist, lift 10 lbs. waist to shoulder, lift and carry 40 lbs., and push/pull 40 lbs.
    • Able to assist in the evacuation of elders.
  • Qualifications and Educational Requirements
    • CNA License – Required.
    • Proven experience as a Scheduler or similar role in a healthcare setting, preferably in a nursing home or skilled nursing facility.
    • Strong organizational skills and attention to detail.
    • Excellent communication and interpersonal abilities.
    • Proficient in computer programs such as Microsoft Office and scheduling software.
    • Familiarity with labor laws and regulations regarding scheduling and overtime.
    • Ability to work independently and prioritize tasks effectively.
    • Flexibility to adapt to changing priorities and schedules as needed.
    • Strong skills in using Microsoft Office products including Excel, Outlook, Word and Teams.
