Do you thrive on keeping things organized and helping teams succeed? Join the Oregon Child Abuse Hotline (ORCAH) as a Business Support (Office Specialist 2) and play a key role in coordinating training and supporting program operations.

Summary Of Duties

As a Business Support, you will:

  • Provide general administrative support to managers, keep confidentiality, follow policies and procedures, and take part in required trainings and in-office activities.
  • Support Screening Operations meetings by scheduling them, preparing materials, taking notes, and keeping track of follow-up tasks.
  • Manage communication with both internal teams and community partners. This includes sending updates, managing Microsoft Teams channels, and keeping email lists.
  • Track training activities using tools like Smartsheet and Excel. This includes checking attendance, recording who completed training, and sharing sign-up information.
  • Support prevention efforts by collecting data, attending meetings, and building relationships with outside agencies to help connect families to services.
  • Keep internal resources up to date, such as the ORCAH OWL intranet page and presentation materials.
  • Help with hiring by scheduling interviews, contacting candidates, preparing materials, joining interviews, and handling related paperwork.
  • Support the creation and proofreading of materials, such as PowerPoint presentations, forms, and written content, by reviewing for clarity, accuracy, and formatting as needed.
  • You will attend in-person trainings for staff members who are taking part virtually. This includes:
    • Bringing a laptop or device so the remote staff member can be present, follow along, and engage in real time.
    • Facilitate communication by speaking on their behalf if they have questions or comments.
    • Moving the device between groups or activities so virtual participant can fully engage with the training.
Minimum Qualifications

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents. Or
  • An associate degree in any field. Or
  • An equivalent combination of education and experience.

  • Experience communicating in writing and in person with coworkers, job candidates, and external partners to clearly explain technical information, policies, and guidelines in ways that are easy to understand for people from diverse backgrounds.
  • Experience providing respectful and inclusive customer service to coworkers, job candidates, and community partners.
  • Experience managing time effectively to stay on task, meet deadlines, and respond promptly to requests.
  • Experience using Microsoft Word, Excel, Outlook, and PowerPoint to create, edit, and manage documents and presentations.
  • Experience using Excel, Smartsheet, or similar tools to accurately enter, organize, analyze, and track large sets of data.

Working Conditions

  • This is a hybrid position. You will work both in the office and occasionally from home. Remote work depends on business needs and must be discussed and approved by your manager.
  • The regular work schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m. (Pacific Time). Some flexibility may be needed based on business needs.
  • Some travel may be needed to support or attend trainings. In rare cases, this may include overnight travel if the location is several hours away. A valid driver’s license or other reliable transportation is acceptable, including carpooling with other staff.
  • You will attend in-person trainings for staff members who are taking part virtually. This includes:

  • You may interact with individuals experiencing trauma or emotional distress. There may be times when individuals have difficulties with managing their emotional responses.
  • You may meet situations requiring quick decision-making to ensure your safety or the safety of others.
