Responsibilities:
The Behavioral Health Supervisor is responsible for assisting with both clinical and administrative operations within the Behavioral Health Department. This role ensures efficient day-to-day operations, provides leadership and direction for clinical and support staff, and upholds high-quality, patient-centered care. The supervisor is accountable for fostering collaboration, optimizing workflows, managing personnel, and supporting organizational goals, including improving patient satisfaction, staff performance, and overall departmental efficiency.
Duties and Responsibilities may include, but are not limited to:
Supervision and Leadership:
  • Provide direct supervision to behavioral health administrative staff (clinical and non-clinical), ensuring alignment with patient-centered principles and mutual respect across the department.
  • Assist with hiring, training, and ongoing supervision of administrative staff, including conducting performance evaluations and addressing disciplinary actions in coordination with Human Resources.
  • Ensure appropriate staffing levels for uninterrupted patient care and workflow.
Operations and Workflow Management:
  • Analyze current processes and workflows, recommending and implementing improvements to enhance operational efficiency and effectiveness within the Behavioral Health Department.
  • Oversee the department’s scheduling templates and ensure optimal coordination of patient appointments, working closely with Tandem Care Clinicians, schedulers and other care centers.
  • Monitor referrals, intake processes, and care coordination for all patients in collaboration with behavioral health administrative staff and primary care teams.
  • Monitor and report on key metrics, including patient satisfaction, staff performance, and departmental productivity.
Clinical Oversight and Compliance:
  • Ensure the staff comply with healthcare regulations, quality assurance standards, and documentation requirements.
  • Maintain department compliance with staff certifications and other regulatory standards and record-keeping.
  • Collaborate with the Behavioral Health Medical Director and Manager on the development and implementation of clinical care protocols, quality improvement plans, and training programs.
  • Oversee the handling of patient concerns, ensuring timely and appropriate resolutions while maintaining patient satisfaction.
Technology and EHR Oversight:
  • Serve as the department’s EHR super-user, providing staff training on approved workflows and supporting system improvements.
  • Troubleshoot basic technical issues and liaise with IT for resolution when necessary.
  • Manage departmental use of electronic medical records (EMR), ensuring proper documentation, scheduling, and communication.
Collaboration and Communication:
  • Foster communication and collaboration with other departments, including billing, referral management, revenue cycle, and specialty services, to ensure smooth operations.
  • Maintain regular communication with department leadership, providing updates on departmental performance, staff issues, and patient care concerns.
  • Assist in preparing reports, presentations, and data analysis as required for leadership meetings and quality control initiatives.
Performance and Quality Control:
  • Regularly review clinical and administrative workflows to ensure high-quality service delivery, recommending changes when necessary.
  • Maintain departmental accountability for patient data collection, including patient satisfaction surveys, appointment volume tracking, and staff performance reports.
Other Duties as Assigned:
  • Participate in Lean process improvement projects to increase efficiency and reduce waste.
  • Support department events, meetings, and special projects as assigned.
Education/Experience Requirements:
  • Bachelor’s degree in healthcare, behavioral health, or a related field is preferred.
  • One year of leadership experience is preferred.
  • Experience in process improvement (Lean or equivalent) and healthcare management strongly preferred.
  • Proficient in Microsoft Office suite (outlook, word, excel, powerpoint, etc.)
  • CMA/RMA certification or higher is preferred.
  • Knowledge of healthcare administration, behavioral health care practices, human resources management, and office management techniques.
  • Excellent organizational, time management, and communication skills, with the ability to lead, mentor, and develop staff.
  • Strong analytical skills for problem-solving and process improvement.
  • Ability to work effectively under pressure, manage multiple priorities, and adapt to changing situations.
  • Ability to develop effective working relationships with staff, patients, and leadership at all levels.
  • Supervise all clinical and non-clinical administrative staff within the Behavioral Health Department, ensuring adherence to standards of care and operational efficiency.
Salary is commensurate with experience.
