Office Coordinator (Arlington, VA) at Erickson Immigration Group
Erickson Immigration Group (EIG), is a full-service, premium business immigration law firm located in Arlington, VA. We pride ourselves on delivering a “Perfect Plus” customer experience through trust, honesty, transparency, and availability to our clients. We are looking for an experienced Office Coordinator to support a very busy, fast-paced environment. This role requires you to be onsite at our Arlington office Monday through Friday.
Compensation: $45,000/year
Responsibilities (include but are not limited to):
- Ensure that the entire firm is operating at its optimum by providing high-level administrative support in coordinating and maintaining time-sensitive and strategic tasks assigned by our leadership staff.
- Answer phone and direct calls to appropriate staff
- Order and facilitate meals for client and staff meetings
- Create shipping labels and receive packages from FedEx and/or UPS vendors
- Serve as the point of contact for building management
- Monitor office inventory and kitchen supplies; order and stock supplies as needed
- Greet and assist visitors when they arrive at the office
- Ensure all mailings are accounted for and accurately updated into the case management system and databases.
- Utilize web-based immigration case management system and database continuously and accurately.
- Scan, file, mail and maintain physical files and supporting documentation.
- Open or close records/cases in the case management system; maintain all records as requested by supervisor.
- Meet assigned deadlines and communicate case progress/status/issues to supervisor.
- Maintain client contact information.
- Update and manage status reports.
- Learn procedural and processing requirements for various types of non-immigrant and immigrant visa petitions and applications.
- Work closely with other Operations Analysts and Attorneys across multiple departments within the firm and your own team.
- Liaise with outside vendors regarding any special projects or assignments
- Other administrative duties as assigned
Ideal Candidates:
- Associate degree, or 2+ years of relevant experience
- Previous experience in a busy law firm or other professional environment preferred
- Ability to work efficiently and independently; manage high volumes of tasks and projects; react with appropriate urgency to situations and events that require a quick response or turnaround.
- Professional demeanor with ability to handle sensitive information with discretion and being mindful of confidentiality and security protocols.
- Must be a self-motivated team player committed to going above and beyond in the workplace.
- Strong organizational and time management skills
- Excellent written and oral communication skills
- Excellent customer service skills
- Excellent knowledge of MS Office Suite
