Summary: The Associate Dean plays a key leadership role in shaping the graduate student experience at NMSU. This position leads strategic initiatives that support recruitment, academic success, and the professional growth of graduate students across the university. The Associate Dean works collaboratively with faculty, staff, and student organizations to create an inclusive, supportive, and innovative academic environment. Classification Summary

The Associate Dean of the Graduate School assists in the development, administration, and promotion of the school and its programs.

Classification Standard Duties

Assist the Dean with the administration, and evaluation of the programs. Promote academic achievement and student satisfaction consistent with established education objectives, quality standards and fiscal responsibility. Supervise and evaluate assigned personnel. Responsible for assisting in the development and/or administration of budgets in areas of supervision. Seeks and pursues/motivates others to pursue potential sources of funding for the school. Serve as liaison between the school and the university community, community agencies, businesses and other groups, advisory committees, state and national groups. Ensure compliance with regulatory, corporate and Department of Education regulations. Seek/maintain degree program approval from licensing agencies, regional and national accreditation councils. Reports directly to the Dean.

Job Duties And Responsibilities

The Associate Dean will assist the Graduate School Dean and Associate Provost for International Affairs to:

  • Provide strategic leadership and management, including representation at the Graduate Faculty Council, Associate Dean’s Academic Council, and other appropriate campus wide Committees to implement the mission of the Graduate School
  • Provide leadership in graduate student life cycle that includes marketing, recruitment, admissions, retention, graduation, and certification
  • Assist with updates to the Graduate Catalog, Graduate Program handbooks, Standard Operating Procedures related to admission and degree certification, and applicable Administrative Rules and Procedures
  • Identifying opportunities for professional development, employment, and well-being of graduate students by working closely with Graduate Student Council and other affinity groups
  • Oversee the planning, development and delivery of professional development opportunities (i.e. Preparing Future Faculty Program, Three Minute Thesis etc.), academic success (EAB Navigate 360, Graduate Student Success Series etc.), engagement, intercultural programming, and well-being of graduate students
  • Assist in the selection of graduate student Scholarships and Awards
  • Work with the NMSU Graduate Workers United and on Graduate Assistant policies

The Associate Dean will be communicating, facilitating, collaborating, and supporting the development of New Mexico State University (NMSU) policies to ensure that best practices are implemented in the service of graduate students, faculty members, and administrators. A segment of these policies includes the enforcement, documentation, implementation, and completion of grievance/appeal resolutions at the lowest levels possible to ensure due processes for all parties involved in situations with graduate students. The Associate Dean maintains and updates the graduate student catalog ensuring that all the information is accurate and is consistent with NMSU policies. The Associate Dean will also assume a leadership role in working with the NMSU Graduate Workers United through regular meetings, grievance reviews, and planning. These duties include ensuring that all policies, rules, regulations, and collective bargaining agreement concerns related to graduate student assistantships are updated and enforced. This work requires strong collaboration with such offices as The Office of People Relations, the Academic Departments, and the Administrative Departments. The Associate Dean works closely with the Dean in meeting the needs of graduate student admissions, retention, graduation, and certification processes. This includes awareness, knowledge, and skills in the various systems required for this work and requires direct supervision and collaboration with program staff completing these duties. The Associate Dean also assists the Dean with the administration and evaluation of all graduate programs and works to promote academic achievement and student satisfaction consistent with established education objectives, quality standards, and fiscal responsibility. The Associate Dean serves as a liaison between the Graduate School and the university community, community agencies, businesses, advisory committees, state and national groups. Other duties in support of compliance, accreditation, and licensing will be expected. The Associate Dean reports directly to the Dean but, in the absence of the Dean, becomes the designee for all Graduate School operations.
