Position Summary

The Internal Admissions Director is responsible for coordinating and managing all aspects of the admissions process within the facility. This position ensures that admissions are handled efficiently, compassionately, and in compliance with federal, state, and facility regulations. The Internal Admissions Director serves as a liaison among residents, families, referral sources, and interdisciplinary team members to ensure a smooth transition and positive first impression of the facility.

Essential Duties And Responsibilities

  • Manage and coordinate the entire admissions process from inquiry to admission.
  • Collaborate with external referral sources, hospitals, social workers, and case managers to facilitate timely admissions.
  • Conduct pre-admission screenings and assessments to determine appropriate placement and level of care.
  • Verify insurance coverage, benefits, and financial arrangements prior to admission.
  • Communicate regularly with the Administrator, Director of Nursing, and other department heads regarding census and pending admissions.
  • Maintain accurate, up-to-date records of inquiries, referrals, admissions, and discharges.
  • Provide tours and information sessions for prospective residents and families.
  • Support residents and families through the emotional and logistical aspects of the admission process.
  • Participate in facility census development efforts and contribute to marketing and outreach initiatives.
  • Ensure compliance with all state, federal, and company policies related to admissions, privacy, and documentation.
  • Coordinate with the interdisciplinary team to ensure appropriate room assignments and care plans are in place before arrival.
  • Monitor and report on admission trends and referral patterns.


Qualifications

Education and Experience:

  • Bachelor’s degree in healthcare administration, social work, nursing, or related field preferred.
  • Minimum of 2–5 years of experience in healthcare admissions, preferably in a long-term care or skilled nursing setting.
  • Knowledge of Medicare, Medicaid, and private insurance guidelines.
  • Experience with electronic health record (EHR) systems and admissions software preferred.


Skills and Competencies:

  • Strong communication, interpersonal, and customer service skills.
  • Detail-oriented and organized with strong documentation abilities.
  • Ability to handle sensitive situations with empathy and professionalism.
  • Knowledge of long-term care regulations and compliance standards.
  • Ability to work collaboratively with internal and external stakeholders.
