You'll be the right hand to leadership, ensuring precision, compliance, and efficiency across projects ranging from luxury remodels and commercial builds to complex interior and structural demolition work.

As the operational hub for both the construction and demolition divisions, you'll support projects ranging from high-end remodels to full demolitions of structures, pools, and mobile homes, ensuring documentation, safety records, and compliance stay sharp across both sides of the business. Your attention to detail and proactive mindset will help ensure every project, whether a custom renovation or a precision demo job, starts clean, stays compliant, and closes strong.

Responsibilities

  • Handle bookkeeping, AP/AR entries, purchase orders, and job cost tracking.
  • Coordinate accurate and confidential timekeeping and payroll processing.
  • Maintain licenses, COIs, W-9s, vendor packets, and bonding/surety documentation.
  • Support both construction and demolition project teams with scheduling, submittals, permits, and closeout documentation.
  • Track and maintain safety, insurance, and regulatory records, assisting with OSHA and internal audits.
  • Assist in estimating with bid documentation, subcontractor vetting, and scope clarifications.
  • Manage HR paperwork, onboarding, and compliance (I-9, E-Verify, policy acknowledgements).
  • Assist in creating, implementing, and enforcing the employee manual and company time-off policy.
  • Track and manage employee vacation, sick leave, and time-off balances.
  • Coordinate benefits and enrollments with insurance providers.
  • Assist with vendor approval packages, ensuring all required documentation is received and current.
  • Maintain tool and equipment inventories, vehicle tag renewals, and new vehicle/equipment acquisitions and setup (including coordination with tag agencies).
  • Support asset management by updating and reconciling equipment and asset lists.
  • Assist with bonding-related accounting and documentation; prior bonding knowledge is a plus.
  • Liaise with clients, subcontractors, and suppliers professionally and promptly.
  • Maintain calendars, calls, and email routing with accuracy and urgency.
  • Continuously refine templates, SOPs, and dashboards for speed and clarity.
  • Champion a culture of precision and safety, supporting both construction quality and demolition control standards.

Qualifications

  • 3 or more years in office management, admin lead, or similar role; construction or demolition industry experience is a strong plus.
  • Working knowledge of bookkeeping basics (AP/AR), payroll coordination, and document control.
  • Familiarity with insurance, bonding documents (COIs, surety requests), and safety documentation, or eagerness to learn quickly.
  • Tech-savvy with spreadsheets and cloud tools; detail-driven with excellent follow-through.
  • Clear communicator, calm under pressure, and comfortable partnering with field teams.
  • High integrity, discretion with sensitive information, and a continuous-improvement mindset.

Compensation & Schedule

  • Full-time, on-site (Ocala, FL).
  • Hourly, non-exempt.
  • Pay Range: $20 to 30 per hour, based on experience and qualifications.
