Position Summary
The Payroll Specialist is responsible for managing all aspects of payroll processing with a high level of accuracy, confidentiality, and professionalism. This role works closely with both the Finance and Human Resources teams to ensure timely and compliant employee compensation. The position also contributes to various finance and accounting functions that support the organization’s operational goals.
Essential Responsibilities
- Serve as the Paylocity system super-user, ensuring accurate and efficient payroll processing.
- Manage the end-to-end payroll process, including compensation changes, auto-pay setup, time imports, payroll entry, processing, and error auditing.
- Oversee bonus and commission payrolls, ensuring proper calculations and timely disbursements.
- Maintain a strong understanding of payroll tax regulations and wage reporting requirements.
- Manage ACH and wire transfers related to payroll and 401(k) plan contributions.
- Prepare and distribute monthly payroll reports for the Finance department.
- Administer garnishments, deductions, direct deposits, HSA contributions, and W-4 updates.
- Calculate and process final pay, termination insurance, and vacation payouts.
- Provide expertise and guidance on multi-state payroll and compliance for remote employees.
- Train staff and management on timekeeping procedures and payroll processes.
- Stay up to date on FLSA and other federal and state employment laws impacting payroll.
- Actively participate in Finance and HR meetings and attend professional development seminars as needed.
- Contribute to the development of departmental goals, objectives, and systems.
- Maintain a professional image, adhering to company policies and confidentiality standards.
- Ensure the security of all personal and payroll information, both verbal and written.
- Perform additional tasks and projects as assigned.
- Strong written and verbal communication skills.
- Excellent decision-making abilities and capacity to meet deadlines in a fast-paced environment.
- High attention to detail with a commitment to accuracy and quality in all documentation.
- Self-motivated and enthusiastic about achieving personal and company objectives.
- Highly organized, with the ability to easily retrieve and manage documents and data.
- Current knowledge of FLSA regulations and employment law compliance.
- Flexible and adaptable to periods of increased workload or tight deadlines.
- Associate degree in Accounting, Finance, Business, or Human Resources and a minimum of two years of relevant payroll experience, or an equivalent combination of education and experience.
- Previous hands-on experience with Paylocity, preferred.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Commitment to maintaining up-to-date industry training per company policy.

- Occasionally required to walk, sit, reach with hands and arms, stoop, talk, and hear.
- Vision requirements include close, distance, and peripheral vision, as well as the ability to adjust focus.
- May occasionally lift and/or move up to 15 pounds.
