Job Description

Position Summary:

The Facilities Manager oversees the daily operations of the building facilities and the management of the facilities team. This is accomplished through (1) managing the team of maintenance technicians (2) overseeing quality and delegation of daily work orders and (3) overseeing apartment turnover. This role requires an advanced knowledge of facilities management, systems and equipment. The scope of work orders includes; maintenance, repair, construction, electrical, plumbing, painting, general maintenance and HVAC trades. This role serves as primary lead for all on-call needs.

Position Responsibilities

  • Manage team of technicians – oversee delegation of priorities and projects; set quality standards and expectations; lead trainings as needed.
  • Manage the building work order system to; ensure efficient and effective delegation and resolution of requests; communicate to residents and staff on requests and timelines as needed; meet or exceed metrics set for timeliness of work orders being completed
  • Manage all apartment turnovers, serving as project manager ensuring the work is completed on time; managing all contractors and related supply inventory. As needed, serve as a technician in completing work within apartment turnover to achieve stated goals.
  • Collaborate closely with the Director of Facilities on maintenance of all building-related systems; working closely with external vendors on seasonal projects and upkeep and future project planning.
  • Manage all details and timelines related to a comprehensive schedule of preventative maintenance and practices.
  • Manage inventory of supplies, appliances, and required materials for upkeep of building and grounds.

Position Responsibilities (cont.)

  • Coordinate as needed with the Director of Facilities on all capital & sustainability projects
  • Provide exceptional customer support and communication for special projects requested by residents and other Jake Satter House departments.
  • Document and track all invoices and expenditures, providing timely submission
  • Provide community-wide communication on facilities related projects
  • Serve as Certified Pool Operator; manage pool maintenance and operations
  • Lead on-call technician for all emergent facilities calls after hours (major leaks, fires, HVAC related issues, power outages, etc)

Qualifications

  • Preferred 10+ years industry experience working in facilities maintenance, management, or operations. Experience in healthcare settings strongly preferred.
  • Required 5+ years supervisory experience managing teams, contractors, or maintenance staff
  • Prior project management experience including overseeing complex renovations, repairs and maintenance projects.
  • Budgeting and financial management experience required.
  • Current knowledge of building systems including but not limited to HVAC systems, electrical systems (high voltage building systems & low voltage controls), plumbing, and other critical building infrastructure
  • Demonstrated problem-solving ability and attention to detail
  • Strong communication skills with experience in relationship development and management with contractors, customers and clients.
  • Strong technology proficiency in facilities management software, building automation systems, and other technology tools that aid in the efficient management of building maintenance and management.

  • Ability to lift items weighing up to 50 pounds
  • Work environment includes air-conditioned spaces with variable noise levels; outdoor work may be required, including in confined spaces and at heights
  • Occasional exposure to weather conditions
  • Minimal risk of contact with infectious waste materials
