Administrative Assistant – Construction Projects
Location: Scottsdale, AZ
Pay Range: $48,000 – $50,000 / year

We’re looking for an Administrative Assistant who can keep it all on track. From organizing bids and proposals to managing vendor communications and tracking project timelines, you’ll play a key role in keeping our construction operations running smoothly and efficiently.

What You’ll Do- Provide administrative and project coordination support to the Construction Department
- Assist with the preparation and submission of bids, proposals, and project documentation
- Maintain organized digital and physical records for all active and completed projects
- Track timelines, budgets, and deliverables to ensure deadlines are met
- Communicate with vendors, contractors, and internal teams to keep projects aligned
- Process and track invoices, purchase orders, and contract documents
- Coordinate meetings, site visits, and travel arrangements for construction leadership
- Support reporting needs, budget summaries, and progress updates
- Help streamline workflows, identify process improvements, and maintain compliance documentation
- Champion a culture of communication, accuracy, and accountability across all project stages
- Must be at least 21 years of age
- Must be able to obtain and maintain a Facility Agent Card (or equivalent) if required by your state
- 2+ years of administrative experience, ideally supporting construction, facilities, or project management
- Strong organizational and multitasking skills with high attention to detail
- Proficiency in Microsoft Office Suite and Google Workspace; familiarity with project management tools (e.g., Monday.com, Smartsheet, Asana) a plus
- Excellent written and verbal communication skills
- Ability to adapt in a fast-paced, deadline-driven environment
- Confidence handling confidential documents and financial information
- A proactive, team-oriented mindset and passion for operational excellence

- High school diploma or equivalent required; additional education in business, construction management, or project coordination preferred
- Ability to sit or stand for extended periods and occasionally lift up to 25 lbs
- Strong visual acuity for reviewing plans, spreadsheets, and project details
