Empath Health is seeking a detailed-oriented Onboarding Assistant to join our HR Total Rewards team in Palm Harbor, FL. In this role, the On-Boarding Assistant supports and builds upon the vision for the new colleague experience “from yes to desk” across all divisions of Empath Health. The On-Boarding Assistant supports the day-to-day operations for the successful background screening and on-boarding of new hire colleagues and ensures I9, AHCA, OIG, professional licensure, certifications, and other compliance requirements for all Empath Health colleagues.

What You’ll Do

  • Perform background investigations and reference checks for potential new hires at all levels of the organization. Also perform elements of these items for staff hired temporarily from agency resources or as independent contractors.
  • Via various HR systems, process all hires, re-hires and transfer candidates including documentation, scheduling for W.E. Days (new hire orientation), file review and coordination of start dates. Ensure the completeness and accuracy of each file with the New Hire process.
  • Respond to inquiries from managers and applicants concerning the onboarding process
  • Serve as “help desk” for hiring managers for employees transferring to and from the manager’s units
  • Responsible to insure that new hire/transfer checklists are complete and comply for director review
  • Coordinate delivery of initial health information to the Organizational Excellence department.
  • Pull file information for periodic regulatory audits throughout the organization for delivery to the director.
  • Ensure that employees new to the organization are supported throughout the process and receive a positive introduction to the organization.
  • Maintain W.E. Days (new hire orientation) list
  • Responsible for New Hires reporting to state of Florida.
  • Responsible for compliance for I-9 processing and for maintenance of the New Hire, Transfer, and Solutions entry processes.
  • Complete employment verifications for current/past employees as needed, and follow up on badge and Sunshine funds requests.
  • Coordinate certain activities performed by department volunteers.
  • Assist in onboarding student interns.
  • Assist HR Director and/or VP Human Resources with special projects.
  • Other duties as assigned.

Position Requirements

  • Education and/or Experience: High School graduate with some college level studies in Human Resources or related field, or at least 4 years equivalent experience; or two years related experience in a healthcare administrative function, or equivalent combination of education and experience.
  • Certifications: PHR preferred
  • Must have excellent written and verbal communication skills.
  • Must have extensive experience in Microsoft Office programs with emphasis on Excel and Word Experience with HRIS, scanning software, Applicant Tracking Systems, Onboarding systems, and Background Check applications preferred.
  • Must have excellent organizational skills with high level of attention to detail and emphasis on quality outcomes, without sacrificing productivity.
  • Ability to organize and manage multiple tasks effectively, sometimes in stressful situations.
  • Skills in differentiating relationships, levels and qualifications of onboarding employees in clinical environments.
  • Must exhibit professionalism, confidentiality and interpersonal skills with emphasis on customer service and ability to contribute to a positive work environment.
  • Ability to work as a team player and independently, as needed.
  • Must have strong customer service skills, both verbally and in writing.
