The Role

The Office Administrative Assistant supports InterDev’s daily operations by ensuring efficient office management and providing employees with the resources they need to succeed. This role combines administrative support, facilities coordination, and employee engagement functions. The ideal candidate is highly organized, dependable, and collaborative, with strong communication and multitasking skills.

Essential Functions

Administrative Support

  • Provide general administrative assistance to company leadership and teams.
  • Coordinate with various departments to support smooth communication and daily office operations.
  • Manage internal and client documentation, digital filing, and version control.
  • Support scheduling, meeting coordination, and company communication updates.
  • Assist in event planning and management for client meetings, company functions, or community events.
  • Serve as backup to HR for onboarding coordination and employee engagement initiatives.

Facilities & Office Operations

  • Oversee general office organization, cleanliness, and maintenance coordination.
  • Manage inventory and ordering for office supplies, kitchen supplies, and snacks.
  • Coordinate deliveries, shipping, and incoming mail.
  • Oversee vending machine inventory and servicing.
  • Serve as the primary point of contact for property management, facility vendors, and service providers.
  • Act as Fire Warden and maintain facility safety and compliance procedures.
  • Maintain and organize the storage room and supply areas.
  • Support the uniform program, ensuring consistency, distribution, and inventory management.
  • Manage company swag and branded merchandise.

Employee & Event Support

  • Assist with internal event planning including in-office activities, holiday events, and team outings.
  • Coordinate employee headshots and assist with internal communications that are non-HR specific.
  • Help promote employee engagement through communication updates, recognition efforts, and office culture initiatives.


Additional Responsibilities

  • Perform other duties as assigned by the COO and other company leadership to ensure smooth day-to-day office operation.


Competencies

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft 365, including Outlook, Teams, Excel, SharePoint, and PowerPoint.
  • Professionalism and confidentiality in handling sensitive information.
  • Attention to detail and ability to multitask.
  • Customer-service mindset and collaborative approach.

Educational and Professional Qualifications

  • Associate or bachelor’s degree preferred.
  • 1-3 years of experience in an administrative, office coordination, or similar role.
  • Demonstrated experience supporting event planning and coordination.
  • Experience coordinating office supplies, facilities, or vendor relationships preferred.

Work Environment

This position operates in a professional office setting and involves regular use of standard office equipment, including computers, phones, and printers.


Physical Demands

The role is primarily desk-based, with extended periods of sitting and regular use of a computer and telephone. Occasional physical tasks may include lifting or moving light materials (up to 15 pounds).


Position Type and Expected Hours of Work

This is a full-time, exempt position. Days and hours of work are generally Monday through Friday, 8:30 a.m. to 5:30 p.m.


This role has requirements for in-person work.


Additional Eligibility Qualifications

Candidate must successfully complete background screening and drug screening upon acceptance of position.
