Job Description

Pay range $70,000 - $75,000

This position performs high level administrative and support duties for the Office of Decision Support senior leadership. The Executive Assistant provides skilled and confidential support and serves as a liaison for the office with other executive offices, colleges, and departments across the university. The position supports all units and functions of the office, with the primary expectation to core needs of the unit and senior leadership.

Responsibilities

  • Maintains calendars and schedules as requested. Schedules, arranges, and prioritizes meetings, conferences and special events including room reservations, management and set up. Coordinates development and distribution of agenda and materials for meetings and presentations, as requested.
  • Provide administrative support for Office of Decision Support units and functions beyond the core support needs (e.g., USF Data Governance, USF Data Administration, ODS access provisioning audit tracking, equipment tracking).
  • With guidance from senior leadership, organizes, gathers, researches, develops and compiles data required for use at meetings, special events, etc. Prepares presentation materials, composes and/or prepares correspondence, as requested.
  • Serve as liaison with HR and Business & Finance support and shared services to ensure appropriate HR and business activities required for office operations are being addressed.
  • Performs other duties as assigned.

Qualifications

Minimum Qualifications:

  • Bachelor’s degree and a minimum of four (4) years of related experience.
  • Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.
  • Senate Bill 1310- The Florida Senate (https://www.flsenate.gov/Session/Bill/2023/1310) is conditional upon meeting all employment eligibility requirements in the U.S.
    • SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
    • A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
    • Two years of direct experience for an associate degree;
    • Four years of direct experience for a bachelor’s degree;
    • Six years of direct experience for a master’s degree;
    • Seven years of direct experience for a professional degree; or
    • Nine years of direct experience for a doctoral degree
    • Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
    • Minimum Qualifications that require a high school diploma are exempt from SB 1310.
Preferred Qualifications

  • Preferred candidates will possess a Bachelor's degree and have four years of working experience providing administrative support to a high-level executive in a fast-paced environment, preferably within an institution of higher education.
